Happy african american advisor couple planning their future investments meeting

To become a remote personal finance assistant, you learn bookkeeping basics, get comfortable with one or two finance tools such as QuickBooks, Xero or a budgeting app, and then sell yourself to busy individuals, founders and families abroad who want someone to keep their money admin in order. You can do this job from Nigeria, but most of the work comes through freelance clients and VA agencies. Advertised roles with that exact title are rare.

The work is mostly paying bills on time, tracking spending, chasing receipts, reconciling accounts and getting documents ready for the client's accountant. It is not financial advice. That boundary decides what you can legally offer.

This guide covers the daily tasks, the tools and free certifications worth having, what the role pays, what you must not do, how to handle a client's money access safely, and how the role fits Nigerian working hours and power supply.

Quick answer

A remote personal finance assistant handles a client's personal money admin: paying bills, categorising transactions, reconciling accounts, tracking subscriptions and organising tax documents. To become one from Nigeria, learn bookkeeping basics, get free Xero or QuickBooks certification, practise in a budgeting tool, build a sample monthly report and pitch founders and busy professionals abroad. Do not give investment or tax advice, and do not prepare US tax returns without the right registration.

What a remote personal finance assistant actually does

Think of the role as a virtual assistant who only does money. Clients are usually business owners, executives, landlords or families who earn well but can't keep up with their bills, statements and receipts.

The table below shows typical tasks. These are general descriptions, not taken from one employer.

TaskWhat it looks like in practice
Bill tracking and paymentKeeping a calendar of due dates, scheduling payments the client has approved
Transaction categorisationTagging spending in a budgeting app or spreadsheet each week
ReconciliationMatching bank and card statements against records, flagging gaps
Subscription auditListing recurring charges and flagging ones the client may not use
Receipt and document filingSaving invoices, insurance papers and statements in organised folders
Monthly summaryA one-page report: income, spending by category, upcoming bills
Accountant prepGathering year-end documents so the client's accountant can file

Some roles mix personal and business finance. One live US ad on Greenhouse from Catch Creation, an e-commerce company, asked a remote bookkeeper to reconcile bank, card and payment processor accounts, track refunds and chargebacks and prepare monthly reports in QuickBooks Online or Xero (Catch Creation bookkeeper ad, checked October 2026). Founders often want the same person to look after their household accounts too, so business bookkeeping skills widen your options.

How this differs from a bookkeeper or a financial adviser

A bookkeeper keeps a business's books. A financial adviser recommends investments, pensions or insurance, which is regulated work in most countries and usually needs a licence. A personal finance assistant sits between administration and bookkeeping. You record, organise, remind and report. The client and their professionals make the decisions.

If you want to keep business books instead, our planned guide to remote bookkeeping jobs for beginners covers that path, and the bookkeeper career guide sets out the skills.

Who hires remote personal finance assistants, and under what job titles

Very few ads say "personal finance assistant". If you search only that phrase, you'll mostly find financial adviser roles and AI-training gigs that want CFP or CPA holders. Search these titles instead:

  • "Personal assistant" or "executive assistant" with "bill pay" or "personal finances" in the description
  • "Family office assistant" or "household manager"
  • "Bookkeeper" or "bookkeeping assistant", especially part-time
  • "Virtual assistant (finance)" or "finance VA" on freelance platforms
  • "Accounts payable assistant" for the bill-payment side

Three types of client hire for this:

  1. Individual clients on freelance platforms or through referrals. Busy professionals in the US, UK or Canada who want a few hours a week of help. This is the most realistic first route from Nigeria.
  2. VA and staffing agencies that place offshore assistants with clients abroad. Many of them limit applicants to certain countries.
  3. Small companies that need a bookkeeper and sometimes add the founder's personal admin.

Check location eligibility on the employer's own ad

Aggregators can get location wrong, so read the ad itself. In October 2026, the job aggregator Remote Rocketship's page of remote bookkeeping jobs in Africa listed most roles as South Africa only. It also showed a "Bookkeeper – Xero Specialist" role from the staffing company Huzzle as open to Nigeria. The Huzzle ad on Workable said "South Africa (Remote)" and asked for UK working hours and knowledge of HMRC practices. Trust the employer's page, and if it's unclear, ask the recruiter before you spend an hour on the application.

Our planned guide on checking whether a remote job accepts Nigerian residents goes through this in detail.

Clients will hand you sensitive information and sometimes ask questions you're not qualified to answer. Knowing where the line sits protects you and the client.

No investment, pension or insurance advice

"Should I move my savings into this fund?" is a question for a licensed adviser. You can collect the statements the adviser needs, track the client's contributions or put fee comparisons in a spreadsheet, but the recommendation isn't yours to make. Write this into your service description so clients know from the start.

No US tax return preparation without a PTIN

The IRS says anyone who prepares, or assists in preparing, federal tax returns for pay must have a Preparer Tax Identification Number (PTIN). The application and renewal fee is $18.75 (IRS PTIN requirements, as of October 2026).

The IRS FAQ draws a useful line. Staff who only do data entry and put documents together, without making decisions that affect the tax owed, are generally not tax return preparers. Staff who actually prepare returns, even simple ones, need a PTIN whether or not they sign. Foreign preparers without a US Social Security number can still register by uploading notarised copies of two identity documents, such as a passport, and the review can take about six weeks (IRS: Do I need a PTIN?).

For most personal finance assistants, the safe position is to gather, label and organise documents for the client's accountant and leave preparation to them. If you want to move into tax work, the planned guide to remote tax preparation jobs covers it.

No signing authority you didn't ask for

Never accept a client's online banking password or let them add you as a full joint owner on an account. Safer ways to get access are covered in the security section below.

Skills and tools to learn

You don't need an accounting degree. The US Bureau of Labor Statistics says bookkeeping and accounting clerks typically enter with some college but no degree, learn most skills on the job, and usually don't need certification (BLS Occupational Outlook Handbook). Clients still need to see proof you can do the work.

Core skills

  • Spreadsheets. SUMIFS, pivot tables, data validation and clean formatting in Google Sheets or Excel. Most personal finance work starts and ends in a spreadsheet.
  • Bookkeeping basics. Debits and credits, reconciliation, and the difference between a transfer and an expense.
  • Written English. Short, clear updates such as "Your car insurance renews on 14 November at $142. Approve or cancel by Friday."
  • Discretion. You will see salaries, debts and family spending. Keeping quiet about it is part of the job.
  • US and UK money vocabulary. ACH, direct debit, standing order, HSA, ISA, 1099, P60. Learn what these mean even though you won't advise on them.

Tools clients commonly use

ToolWhat you'd use it forCost to you
Google Sheets or ExcelBudgets, trackers, monthly summariesFree (Sheets)
QuickBooks OnlineBusiness and mixed bookkeepingClient pays for the account
XeroBookkeeping, common with UK clientsClient pays for the account
YNABPersonal budgeting for individuals$14.99 a month or $109 a year, 34-day free trial
A password manager (Bitwarden, 1Password)Sharing logins without seeing passwordsFree tiers exist
Google Drive or DropboxDocument filingClient's account

YNAB pricing comes from YNAB's pricing page as of October 2026. Use the free trial to learn how envelope budgeting works, because some clients will already be using it.

Certifications that help (and are free or cheap)

Certification isn't required, but it gives a client abroad something they can check.

  • Xero certification. Xero says its certification is free. Level 1 (Associate) covers setup and entering data, Level 2 (Professional) covers period-end work, and you must take the levels in order. You can learn self-paced, join a live webinar or go straight to the assessment. Certifications last 12 months and are renewed with a short annual assessment (Xero: get certified, as of October 2026).
  • QuickBooks Online certification through the ProAdvisor programme. Intuit offers self-paced certification training through its ProAdvisor Academy, with a shorter recertification exam each year (QuickBooks training and certification). The page doesn't state a price, so check when you sign up.

If you only take one, pick Xero for UK clients and QuickBooks for US clients. Our virtual assistant career guide lists general VA courses that work alongside these.

How to become a remote personal finance assistant: step by step

  1. Pick your client type. "US founders who need their personal and business money separated" is easier to sell than "anyone who needs finance help".
  2. Learn the basics in 4 to 8 weeks. Bookkeeping fundamentals, spreadsheet functions and one accounting tool. Free courses and the Xero certification are enough to start.
  3. Build a sample client file. Invent a fictional household with a year of fake transactions, then produce a reconciled budget, a bill calendar, a subscription audit and a one-page monthly summary. Label it as a sample.
  4. Write a service menu. Spell out what you do (bill tracking, reconciliation, monthly report, document filing) and what you don't (investment advice, tax preparation).
  5. Set up your workspace and payment rails. You need backup power, two internet connections and a way to receive dollars. See the Nigeria section below.
  6. Find first clients. Use freelance platforms, LinkedIn posts on organising founders' finances, and VA agencies that accept Nigerian applicants. Our planned guide on finding international VA clients covers outreach.
  7. Start small with a paid trial. Offer a one-off clean-up, such as categorising three months of transactions, before a monthly retainer.
  8. Get a reference and raise your rate. After three months of on-time reports, ask for a LinkedIn recommendation and review your pricing. The planned guide on pricing your VA services helps with the numbers.

Example (hypothetical): a monthly routine for one US client

Example (hypothetical): A Lagos-based assistant works 10 hours a month for a US consultant on Eastern Time.

  • Every Monday (1 hour): Categorise last week's card and bank transactions in YNAB and flag anything unusual by message.
  • 1st of the month (2 hours): Reconcile all accounts, update the bill calendar and send the client a list of payments to approve.
  • After approval (1 hour): Schedule approved bill payments through the client's bank, using delegated access only.
  • Mid-month (2 hours): File receipts and statements in Google Drive folders named by year and category.
  • End of month (4 hours): Send a one-page summary covering income, spending against budget, subscriptions to review, and documents the accountant will need.

How much remote personal finance assistants earn

There is no reliable published salary data for "personal finance assistant" as a job title, so use nearby roles as guides.

SourceFigureWhat it represents
BLS, May 2025$50,670 a year ($24.36 an hour)US median for bookkeeping, accounting and auditing clerks working in the US
Catch Creation ad, Greenhouse, October 2026$8 to $9 an hourAdvertised range for a remote e-commerce bookkeeper, 2+ years' experience

The BLS figure is a benchmark for workers based in the US (BLS). A Nigeria-based assistant will usually be offered much less, because offshore pay is set against offshore labour markets. The Catch Creation ad is a more realistic guide for offshore bookkeeping work. That ad didn't say which countries it accepts, so treat it as a pay example, not proof that it hires from Nigeria.

At $8 to $9 an hour for 160 hours, gross pay is $1,280 to $1,440 a month, about ₦1,743,000 to ₦1,961,000 at the house rate of ₦1,362 to $1 (CBN NFEM weighted average, 23 October 2026). That's before platform fees, transfer costs and tax. Part-time clients paying for 10 hours a month bring in much less, which is why most assistants build up several retainers. See the bookkeeper salary guide for more pay detail.

The BLS also projects that US bookkeeping clerk employment will fall 6% between 2025 and 2035 as software automates routine tasks. The client-facing parts of this role (chasing receipts, explaining a report, spotting an odd charge) are harder to automate than plain data entry, so build your service around them.

Working from Nigeria: hours, power, data and payment

Time zones

Nigeria is on WAT (UTC+1) all year. From 25 October 2026 the UK is on GMT, so UK office hours of 9am to 5pm run from 10am to 6pm in Lagos. From 1 November 2026, US Eastern Time is six hours behind Lagos, so a 9am to 5pm EST day is 3pm to 11pm in Lagos. Personal finance work is mostly asynchronous, so a few hours of overlap for approvals and calls is usually enough. Agree on that overlap before you sign.

Power and internet

You cannot miss a bill deadline because NEPA took light. Budget for an inverter or solar backup, and keep two internet options, such as a home ISP plus a MiFi or phone hotspot on a different network. Schedule payments a day or two early, not on the due date.

Data protection

Under the Nigeria Data Protection Act 2023, anyone who processes personal data on someone else's behalf (a "processor") must follow the same data protection principles as the organisation that decides how that data is used (Nigeria Data Protection Commission). Your clients may also be covered by their own country's privacy laws. In practice, that means encrypted devices, a password manager, no client files on shared computers, and deleting what you no longer need when a contract ends.

Getting paid and contract type

Most personal finance assistants work as independent contractors, not employees. Read our explanation of contractor and employer-of-record arrangements before you sign. For receiving dollars through Payoneer, Grey, Wise or platform withdrawals, see how to receive dollar payments in Nigeria. Income you earn from foreign clients still has Nigerian tax implications, covered in our guide to remote work tax in Nigeria.

How to handle a client's money access safely

Trust is the product you're selling. These practices protect you as much as the client:

  • Use delegated or view-only access where the bank or app offers it, so you never hold the client's own login.
  • Share logins through a password manager, never on WhatsApp or email.
  • Insist on two-factor authentication. Codes go to the client's phone, and they approve sensitive steps themselves.
  • Never move money without written approval for each payment or a written standing instruction. Keep a log.
  • Never let a client's money pass through your account. Paying their bills from your own Nigerian account creates disputes and banking problems.

Red flags that point to a scam

Fake "finance assistant" jobs are a common scam. Be wary if a new "employer" sends you a cheque or transfer and asks you to forward part of it, buy gift cards, or receive payments for "clients". That is often money laundering, and you carry the risk. Be just as wary of anyone who asks for your BVN, bank login or an upfront "training fee". Our guide to spotting remote job scams in Nigeria covers the warning signs, and the planned article on avoiding VA job scams covers the VA-specific versions.

Common mistakes new personal finance assistants make

  • Offering "financial coaching" without qualifications. It sounds good on a profile and invites advice requests you can't legally answer.
  • Pricing per task with no limit on scope. "Pay my bills" can grow into an hour of phone calls with a utility company. Define what the monthly fee covers.
  • Working from screenshots instead of statements. Ask for statement exports (CSV or PDF) so your reconciliation holds up.
  • Ignoring the client's accountant. Ask how the accountant wants documents labelled and send a sample early.
  • Mixing clients' files. Use one folder structure and one password-manager vault for each client.

Frequently asked questions

Can a Nigerian work as a remote personal finance assistant for US or UK clients?

Yes, usually as an independent contractor working with individual clients or through an agency that accepts Nigerian applicants. Some agency and employer ads limit applicants to other countries such as South Africa or the Philippines, so check the location line on the employer's own ad before applying.

Do I need an accounting degree?

No. US data shows bookkeeping clerks usually start with some college and no degree, and clients mostly care about proof of skill. A free Xero certification, a sample client file and clean spreadsheets will do more for you than a degree certificate.

Can I help a US client with their taxes?

You can gather and organise their documents for their accountant. If you prepare or substantially prepare federal returns for pay, the IRS requires a PTIN, which foreign preparers can apply for with notarised ID documents.

Is a personal finance assistant the same as a financial adviser?

No. An assistant handles records, reminders and reports. A financial adviser recommends investments or financial products, which usually needs a licence. Keep that line clear in your service description.

How many hours a week does the job take?

It depends on the client. Many individual clients need only a few hours a week, which is why assistants often work for several clients at once. A full-time role usually combines personal finances with business bookkeeping or executive assistant duties.

What should I show clients if I have no experience?

Show a labelled sample client file: a reconciled budget, a bill calendar, a subscription audit and a monthly summary built from invented data. Our planned guide to building a VA portfolio shows how to present it.

Key takeaways

  • A remote personal finance assistant handles a client's money admin (bills, reconciliation, budgets, documents) and does not give advice.
  • Ads with this exact title are rare, so search for bill-pay assistants, family office assistants, finance VAs and part-time bookkeepers.
  • Xero certification is free as of October 2026, and QuickBooks training through the ProAdvisor Academy is the matching option for US clients.
  • Preparing US tax returns for pay requires a PTIN. Organising documents for an accountant generally doesn't.
  • Offshore bookkeeping pay is far below US medians. One October 2026 ad offered $8 to $9 an hour, against a US median of $24.36.
  • Use delegated access, a password manager and written approvals, and never let client money pass through your own account.
