A podcast virtual assistant handles the admin around a podcast: booking guests, managing recording schedules, writing show notes, uploading episodes and turning episodes into social posts. It's one of the better entry points for a Nigerian beginner, because most of the work is organisation and clear writing, not specialist audio engineering.

There's a catch, though. Very few job ads actually use the title "podcast virtual assistant", and some of the ones that do are limited to one country. Most beginners get this work through freelance platforms, VA agencies or by pitching small podcasters directly.

This guide covers what the job involves day to day, which tasks a beginner can take on in the first month, the tools podcasters expect you to know, what the pay looks like, and how to put together a podcast sample pack that gets replies. We also cover the Nigerian side of things: uploading large audio files on unreliable internet, working to US release times, and getting paid.

Quick answer

Remote podcast virtual assistant jobs suit beginners who write clearly and stay organised. Typical tasks are guest outreach, scheduling, show notes, transcripts, uploading episodes to hosts like Spotify for Creators, and repurposing clips for social media. Most of this work is freelance or contract, found through Upwork-style platforms, VA agencies or direct pitches to podcasters, not through formal job ads. Check every ad's location rules before applying, because some are limited to specific countries.

What a podcast virtual assistant actually does

A podcast VA keeps the show running so the host can focus on talking. The work follows the life of an episode, and clients usually hand over one stage at a time as they come to trust you.

Before recording: guests and scheduling

This stage covers researching potential guests, sending invitation emails, collecting bios and headshots, booking recording slots with a tool like Calendly, and sending guests a prep sheet with the recording link and questions. A podcast coordinator ad we reviewed listed guest research, episode planning and keeping tracking sheets up to date as core duties. That's typical of the role.

Recording day

On recording day you're mostly a backstage manager. You confirm the guest is coming, check that the recording link works, and then collect and label the files afterwards. Many shows record on Riverside or Zoom. You don't need to run the recording yourself, but you should know where the files end up and how to name them so nothing gets lost.

After recording: the publishing checklist

Beginners can add the most value here, and it's the part of the job clients are happiest to hand off:

  • Getting a transcript, usually auto-generated in a tool like Descript or Otter.ai, then correcting names and jargon by hand
  • Writing show notes: a short summary, timestamps, guest links and any resources mentioned
  • Uploading the episode, artwork, title and description to the podcast host, then scheduling the release
  • Checking the episode appears correctly on Spotify, Apple Podcasts and YouTube after release

Promotion and repurposing

Once an episode is live, the work turns to promotion. That means pulling quotes for graphics in Canva, scheduling social posts, drafting the newsletter announcement and pulling basic download or view numbers into a spreadsheet. One podcast VA ad we opened on OnlineJobs.ph asked for exactly this mix: transcripts, show notes, repurposing content, scheduling social posts, tracking analytics and basic graphic design, alongside audio and video editing.

Is podcast VA work realistic for a beginner in Nigeria?

Yes, but with honest limits. The tasks themselves are learnable in weeks. The hard part is finding the work and getting the first client to trust you.

Three things make it harder than the agency blogs suggest:

  1. The title is rare. Most podcasters don't post a formal job ad. They hire a general VA and add podcast tasks, or they post a short gig on a freelance platform. If you only search "podcast virtual assistant", you'll miss most of the work.
  2. Some ads are country-restricted. A Social Media and Podcast Virtual Assistant role on Remote4Africa (checked October 2026, now closed) was open only to applicants in South Africa, working in South African time, for a UK-based business. The word "Africa" in a job board's name doesn't mean every listing on it accepts Nigerians.
  3. Ads often ask for experience. That same South African ad asked for two or more years of experience. Ads on Philippines-focused boards like OnlineJobs.ph often ask for a portfolio. Beginners get around this with a sample pack (covered below) and by starting with small, clearly defined tasks.

The upside is that podcasting is full of small, independent shows: coaches, consultants, church ministries and niche business podcasts that can't afford an agency. They need help with exactly the admin a beginner can do, and many hire contractors from anywhere as long as the work arrives on time.

Skills and tools podcasters expect

You don't need a course certificate to start. You do need to show you can handle the specific platforms and file requirements podcasting uses. A podcaster can test that quickly, so learn the details below.

Writing skills

Show notes are the most visible thing a podcast VA produces, so writing matters more than anything else on this list. The OnlineJobs.ph ad mentioned above singled out writing skills as essential for show notes. Good show notes are scannable: a two- or three-sentence summary, five to eight timestamps, guest links and a call to action. Write in plain English and check every guest name and company spelling against their LinkedIn or website.

Platform knowledge

Know the upload rules of at least one major host. Spotify's help page for publishing audio episodes in Spotify for Creators says, as of October 2026:

  • Supported files are MP3, M4A and WAV, in mono or stereo
  • There's no file size limit, but large files take longer to process and are more likely to fail if the connection drops
  • You can publish immediately or schedule a release, and scheduled times show in your local time
  • The account must be verified before the first episode is published, and this feature only works for shows hosted with Spotify

That note about local time matters for you. If you schedule from Lagos for a US show, double-check that the time you pick matches the client's intended release time.

Artwork has its own rules. Apple's Show Cover template and specifications ask for square PNG or JPG artwork, ideally 3,000 x 3,000 pixels (1,400 x 1,400 is the minimum for RSS submissions), with no transparency and no Apple logos or hardware. Apple's artwork requirements page confirms show cover art is required to publish. A VA who catches a transparent PNG before upload saves the client a rejected submission.

Transcription and editing tools

Descript is common because it edits audio by editing the transcript. According to Descript's pricing page, as of October 2026 the free plan includes 60 minutes of media a month, with exports capped at 720p and a watermark on video. Paid plans start with Hobbyist at $24 billed monthly, or about $16 a month billed annually. The free plan is enough to practise on a few sample episodes. Don't pay for a plan until a client needs you to.

Organisation tools

Expect to use Google Drive or Dropbox for files, Google Sheets, Notion, Trello or Asana for the episode tracker, and Calendly for guest bookings. All of them have free tiers. Clients care less about which tool you use and more about whether a missing file can be found in under a minute.

What podcast VA work pays

There's no reliable published salary benchmark for "podcast virtual assistant" as a job title, so treat any single figure with care. Pay depends on the scope of the work (admin only, or audio and video editing too), how many hours you work, and where the client usually hires from.

Here's what we could confirm from ads we opened:

ListingPay statedWhat it tells you
Podcast VA, OnlineJobs.ph (updated October 2025)$200 to $400, period not stated, for 20 hours a weekPhilippines-focused boards often pay low, and the role also asked for audio and video editing
Social Media and Podcast VA, Remote4Africa (closed)R28,000, period not statedSouth Africa only, two years' experience required

The first ad shows the low end clearly. If you charge for 20 hours a week of work that includes audio and video editing at that level, you'll be underpaid compared with a specialist editor. Beginners usually earn more per hour by doing admin-only podcast support for a few clients than by doing everything for one cheap client.

For general VA pay figures in dollars and naira, see our virtual assistant salary guide. Pay offered to Nigeria-based contractors is usually below what the same client would pay someone living in the US or UK, so use US benchmarks as a ceiling, not an expectation.

Example (hypothetical): a beginner agrees a $300 a month retainer with a weekly business podcast for guest booking, show notes and publishing (about 8 to 10 hours a month). At the WorkRemote house rate of ₦1,362 to $1 (CBN NFEM weighted average, 23 October 2026), that's about ₦408,600 a month before payment app fees and tax. Two retainers like that is a realistic first target. Our guide on pricing your VA services walks through how to set the rate.

Where beginners find podcast VA work

Search widely, and use plain terms as well as the podcast ones: "podcast", "show notes", "guest booking", "podcast coordinator", "content assistant", "executive assistant podcast".

Freelance platforms

Upwork and Fiverr host many short podcast gigs: show notes for one episode, transcript clean-up, uploading a backlog of episodes. Gigs like these are how most beginners get first reviews. Check each platform's current fees on its own help pages before pricing. Our guide to finding international VA clients covers profile set-up and proposals.

VA agencies and talent pools

Some VA agencies recruit worldwide and match VAs to clients. As of October 2026, the 20four7VA careers page lets you filter openings by country, including Nigeria, and tags many roles "Worldwide". It also runs "For Pooling Purposes" talent-pool listings, including one for podcast VAs. The page states there is no fee to apply or be matched with clients and mentions free training. Pay isn't published, so ask before you commit. Talent pools also mean you may wait some time before you're matched with a client. Openings change often, so check the live page.

Direct outreach to podcasters

Small podcasters rarely post ads, so pitching them directly works. Look for shows that release regularly but have thin show notes, missing timestamps or no transcripts. That's visible proof they need help. Find the host's email on the podcast website or LinkedIn and send a short, specific pitch (sample below).

Remote job boards

On WorkRemote, podcast-related admin roles usually sit under admin and HR remote jobs, and each listing shows where applicants may live. Search "podcast", "content assistant" and "executive assistant" separately.

How to read the location line on a podcast VA ad

Before applying, work out which of these the ad is:

  • Worldwide contractor: open to anyone, paid as a freelancer. This is the most common setup that's open to Nigerians.
  • Region-restricted: for example "EMEA" or "Africa". Nigeria is often included, but confirm it.
  • Single-country: for example "South Africa only" or "Philippines". Don't apply from Nigeria. Even if you get through, payroll or tax setup usually blocks the hire.
  • Time-zone-restricted: for example "must overlap 9am to 1pm Eastern". This is usually workable from Lagos, because 9am Eastern is 2pm in Lagos during US summer time and 3pm in winter.

Most podcast VA work from Nigeria is contractor work. For what that means for your rights and paperwork, read contractor vs employee in Nigeria.

Build a podcast VA sample pack in two weeks

A sample pack replaces the experience you don't have yet. Pick one public podcast you like (ideally in a niche you'd want to work in) and use its real episodes as practice material. Don't publish anything under the show's name or claim you worked for them. Label everything as a sample.

  1. Days 1 to 3: Choose two recent episodes. Transcribe them in Descript's free plan and correct the transcripts by hand.
  2. Days 4 to 5: Write show notes for both: a summary, timestamps, guest links and a call to action.
  3. Day 6: Write three guest outreach emails for imaginary future episodes, each with a specific reason why that guest fits the show.
  4. Day 7: Build an episode tracker in Google Sheets or Notion with columns for guest, recording date, file status, show notes status, release date and promo status.
  5. Days 8 to 9: Make three quote graphics in Canva at the right sizes for Instagram and LinkedIn.
  6. Days 10 to 11: Create a free Spotify for Creators account and publish a short test episode of your own (two minutes of you explaining your services works well). That way you've done a real upload, schedule and verification.
  7. Days 12 to 14: Put everything into one Google Drive folder or a simple Notion page with a short intro and a link to your test episode.

For more on presenting the pack, see our guide to building a VA portfolio.

Example (hypothetical): show notes for a business podcast

Episode 42: Pricing your first consulting offer, with Ada Example

Ada explains how she set her first consulting price, why she dropped hourly billing after six months, and the one question she now asks every new client.

  • 00:00 Introduction
  • 02:15 Ada's first client and what she charged
  • 09:40 Moving from hourly to project pricing
  • 18:05 The client question that saves her hours
  • 27:30 Listener question: raising prices without losing clients

Mentioned in this episode: Ada's website, her pricing worksheet, episode 31 on contracts.

Example (hypothetical): a pitch to a small podcaster

Subject: Show notes and timestamps for [Podcast name]

Hi [Host name], I've been listening to [Podcast name], and your episode with [Guest] on [topic] was useful. I noticed recent episodes don't have timestamps, which makes them harder to find in search and for listeners to skim.

I'm a podcast virtual assistant based in Nigeria. I handle show notes, transcripts, guest scheduling and publishing for independent shows. I've attached sample show notes I wrote for your last episode (unpaid, yours to use if you like).

If it's helpful, I can take over show notes and publishing for your next four episodes at a flat rate. Happy to work to your US release schedule.

Keep it under 150 words, send it to one show at a time, and follow up once after a week.

The Nigerian setup: power, internet, time zones and payment

Uploading big audio files

Podcast files are large, and uploads are where Nigerian connections struggle most. A one-hour stereo WAV at CD quality (44.1 kHz, 16-bit) is roughly 635 MB. The same hour as a 128 kbps MP3 is about 58 MB. Spotify notes that large files are more likely to fail if the connection drops. Ask clients whether they'll accept MP3 for publishing. Where possible, do big uploads when your connection is strongest, and keep a second provider (a MiFi plus a phone hotspot on a different network) ready. Never leave an upload until the last hour before release.

Power

A failed upload because NEPA took light is still a missed release to the client. An inverter or solar setup that keeps your laptop and router running for a few hours is part of the job, not a luxury. If you're on a lower DisCo tariff band with long outages, plan your publishing work around the hours you know you'll have power.

Time zones and release days

Most podcast clients in this niche are in the US or UK. Nigeria is on WAT (UTC+1) all year. If a US show releases at 6am Eastern, that's 11am in Lagos during US summer time and 12 noon from 1 November 2026, when the US moves to EST. A guest recording at 2pm in London is 3pm in Lagos this winter (UK clocks went back on 25 October 2026) and 2pm during British Summer Time. Keep a time zone converter open every time you book a guest.

Getting paid

Podcast VAs are usually paid as contractors through Upwork, Deel, Payoneer, Wise or apps like Grey. Compare withdrawal fees and exchange rates before choosing. Our guide on receiving dollar payments in Nigeria compares the main options. Freelance income is taxable, and our remote work tax guide explains how that works under the Nigeria Tax Act 2025.

Common mistakes and scam warnings

Beginners tend to make the same few mistakes:

  • Underpricing editing work. If a client wants full audio and video editing on top of admin, that's a second skill and should cost more.
  • Misspelling guest names. It's the fastest way to lose a podcast client, because the guest sees it in public.
  • Messy files. Name files consistently, for example "EP42_Ada_raw.wav" and "EP42_Ada_final.mp3".
  • Not confirming who has the login. Use the client's team-access features where they exist, and never change account recovery emails or passwords without written permission.
  • Calling yourself a "podcast producer". Producers shape content and usually have experience. Be honest about your scope.

Scams aimed at VAs are common on Telegram and WhatsApp. Walk away from any "podcast assistant" offer that asks you to pay for training, equipment or a "starter kit", or that pays far above market for simple work. Legitimate agencies like the one above state that applying is free. For specific red flags, read our guides on avoiding VA scams and remote job scams in Nigeria.

Frequently asked questions

Do I need audio editing skills to become a podcast virtual assistant?

No. Many podcast VA tasks, such as guest booking, show notes, transcripts and publishing, need no audio editing at all. Basic trimming in Descript helps, but full editing and mixing is a separate role that usually pays more.

How much do podcast virtual assistants earn?

There's no reliable published average for this title. One podcast VA ad we opened offered $200 to $400 for 20 hours a week of mixed admin and editing work, which is at the low end. Your rate depends on scope, hours and client, so price by task bundle rather than accepting the lowest offer.

Can Nigerians get podcast VA jobs with US podcasters?

Yes, mostly as freelancers or contractors. Small US podcasters often hire from anywhere if the work is reliable and arrives on time. Formal job ads are sometimes limited to one country, so read the location line before applying.

What is the difference between a podcast VA, a podcast editor and a podcast producer?

A podcast VA handles admin and publishing, a podcast editor works on the audio and video files, and a producer shapes the content and runs the show. Beginners usually start as VAs and add editing later if they enjoy it.

Can I do podcast VA work on a phone?

You can schedule, email and write show notes on a phone, but a laptop is close to essential. Transcript editing, file management and uploading large audio files are slow and error-prone on a phone, and most clients expect you to have a computer.

How do I get my first podcast client with no reviews?

Send a sample along with your pitch. Write show notes for the podcaster's latest episode, offer a small fixed-price trial (for example four episodes), and do it well enough that they keep you on. A sample pack built from public episodes shows the skill without paid experience.

Do podcast VAs need a transcription certificate?

No. Clients judge you on accuracy, not certificates. If you want to specialise in transcription, see our transcriptionist career guide.

Key takeaways

  • Podcast VA work is mostly organisation and writing: guest booking, show notes, transcripts, publishing and social repurposing.
  • Few ads use the title, and some are country-restricted, so search broader terms and read the location line on every ad.
  • Most work open to Nigerians is freelance or contractor work, found on freelance platforms, through VA agencies and by pitching small podcasters directly.
  • Learn the platform rules, such as Spotify for Creators file types and Apple's square, non-transparent cover art, because clients test this.
  • A two-week sample pack built from public episodes replaces the experience you don't have yet.
  • Plan for large uploads, backup power and US release times before you take on your first client.
