How to Grow From Virtual Assistant to Operations Manager
How Nigerian VAs grow into remote operations manager roles: the career ladder, skills, tools, sourced pay figures, job-ad eligibility checks and a 12-month plan.

A virtual assistant becomes an operations manager by moving from doing tasks to owning how the work gets done. In practice, that means writing the processes, tracking the numbers and managing the people who follow both. Most VAs who make the move do it in two or three steps over a few years, usually through a coordinator or senior VA role, and usually starting with a client who already trusts them.
This matters for Nigerians because operations work is one of the few remote career paths where your growth doesn't depend on a degree or a licence. It depends on proof that you can run things. In this guide we cover what actually changes between the two roles, the ladder most people climb, which skills and tools to build at each stage, and what pay looks like from Nigeria (with sources). We also show how to read operations job ads for location limits, the common mistakes, and a 12-month plan you can start this week.
Quick answer
To grow from virtual assistant to operations manager, take ownership of a process at your current client, document it as an SOP, measure it and improve it. Then repeat that across bigger areas until you're coordinating other people. Add KPI reporting, automation tools and light team leadership. Operations manager ads usually ask for two to five years of operations or coordination experience, so expect to pass through an operations coordinator or senior VA role first.
What actually changes when a VA becomes an operations manager
The job title sounds like a promotion in the same line of work. It isn't quite that. A VA is judged on whether tasks get done well and on time. An operations manager is judged on whether the business runs well, even on days when they personally touch nothing.
| Area | Virtual assistant | Operations manager |
|---|---|---|
| Main question | Did I finish my tasks? | Does the system work without me? |
| Inbox and calendar | Manages them | Decides who manages them and how |
| Processes | Follows them | Writes, tests and fixes them |
| Numbers | Rarely reports any | Owns KPIs and weekly reports |
| People | Works alone | Hires, trains and reviews others |
| Tools | Uses them | Chooses, connects and automates them |
The shift in the right-hand column is the whole game. You can be an excellent VA and still not be ready for operations if you have never written down a process someone else could follow, or reported a number a founder made a decision with.
A real ad shows this clearly. A full-time operations manager listing we opened on OnlineJobs.ph (as of October 2026) states, "This is not an entry-level VA role," and asks for experience with SOP building, workflow creation, CRM management, reporting and monitoring team activity, on top of scheduling and customer communication (OnlineJobs.ph listing). OnlineJobs.ph is a board for workers in the Philippines, so treat that ad as a picture of what employers expect, not as a role open to you. The point stands: hirers want someone who already builds systems, not someone who only works inside them.
The realistic ladder from VA to operations manager
There is no official ladder and titles vary from company to company. The stages below are our synthesis of how small remote businesses tend to grow operations staff. Use them as a map, not a rulebook.
| Stage | What you own | Typical signal you're ready to move up |
|---|---|---|
| General VA | Tasks: inbox, calendar, data entry, bookings | Client stops checking your work |
| Specialist or senior VA | One area: customer inbox, CRM, hiring admin, e-commerce orders | You've written SOPs for that area |
| Operations assistant or coordinator | Several processes across a team | You run a weekly report and spot problems first |
| Operations specialist or online business manager | Systems, tools and some projects | Other VAs or freelancers report to you |
| Operations manager | Results across the business, plus people | Founder hands you goals, not tasks |
The second and third rungs are where most people stall. Our guide to becoming a remote operations assistant covers the coordinator stage in detail. Here we focus on what moves you through it and beyond.
How long it takes
Nobody can give you an honest fixed timeline. Ads give a rough signal. On Jobgether's page of remote operations manager roles filtered for Africa (opened October 2026), most roles carried a "Mid (2-5 years)" or "Senior (5-10 years)" label. Only one was marked junior, and it was an e-commerce operations role asking for Shopify and Zendesk (Jobgether, remote operations manager jobs, Africa). If you start with one long-term client and grow inside that business, two to four years from general VA to operations manager is a reasonable expectation. It can be faster in a small, growing company that needs you.
Operations manager versus online business manager
"Online business manager" (OBM) is a title used mostly in coaching, course and small-agency businesses. An OBM usually works as a contractor for a founder and runs operations, projects and the team of VAs and freelancers. An operations manager title is more common in startups and established companies, and it is more often a salaried employee or long-term contractor role. For a Nigerian VA, the OBM route is often the first one that opens, because small-business owners already hire VAs from abroad.
Skills to build at each stage
Operations is a set of habits backed by a few tools. Build them in roughly this order.
1. Write SOPs for everything you repeat
A standard operating procedure (SOP) is a written, step-by-step guide that lets someone else do a task the way you do it. This is the first and most important operations skill. Start with the three tasks you do most often. Write each one in Google Docs or Notion, with screenshots or a short Loom video, the tools used and what "done" looks like.
Once a new freelancer can follow your SOP without asking you questions, you've built something an operations manager would build.
2. Map and fix processes
Process mapping means drawing how work moves from start to finish: who does what, in what order, and where it waits. A simple flowchart in Google Slides, Miro or Whimsical works. Look for the step where work piles up (often an approval, a handover or a missing piece of information) and propose one fix.
Example (hypothetical): a VA handling bookings for a UK cleaning company notices that customers wait a day for quotes because the owner approves every price. She drafts a price list for standard jobs, gets it approved once, and quotes those jobs on the spot. Only unusual jobs go to the owner. That is an operations improvement, and it belongs on her CV with the result attached.
3. Track and report numbers
Operations managers talk in KPIs (key performance indicators): the few numbers that show whether a process is working. For a customer inbox, that might be first-response time and tickets resolved per day. For bookings, it might be quotes sent and the conversion rate. For hiring admin, time to fill a role.
Build a weekly one-page report in Google Sheets or Looker Studio with three to five numbers, the trend and one sentence on what you'll change. Send it every Monday without being asked. Founders notice this faster than almost anything else you can do.
4. Learn the tools operations teams run on
The tools that appear again and again in operations ads fall into a few groups:
- Project management: Asana, ClickUp, Trello, Notion, Monday.com
- Documentation: Google Workspace, Notion, Confluence, Loom
- Automation: Zapier, Make, and the built-in automations in your client's CRM
- CRM and service tools: HubSpot, GoHighLevel, Zendesk, and industry tools such as Jobber, Housecall Pro or ServiceTitan for home-service businesses
- Reporting: Google Sheets, Excel, Looker Studio
You don't need all of them. Get very good at one project tool, one automation tool and spreadsheets. The OnlineJobs.ph ad above also lists ChatGPT and Claude among its tools, and that matches a wider pattern: knowing how to use AI to draft SOPs, summarise tickets or clean data is now part of operations work (OnlineJobs.ph listing).
5. Lead people before you have the title
Most operations manager ads expect some people management. You can build this before anyone calls you a manager: onboard a new VA using your SOPs, review their work for the first month, run a short weekly check-in, and handle the awkward conversation when something goes wrong. Ask your client if you can help shortlist and interview the next freelancer they hire.
6. Understand money basics
You don't need to be an accountant. You do need to read a simple profit-and-loss summary, track tool subscriptions, check supplier invoices and know what each process costs in hours. Operations managers who can say "this automation saves 10 hours a week" get listened to.
Do you need a certificate?
No certificate is required for operations roles. A project management credential can still help a self-taught VA show structure. The Google Project Management Professional Certificate on Coursera takes about six months at roughly 10 hours a week. As of October 2026, it costs $49 a month in the US and Canada after a seven-day trial, may cost less in other countries, and has financial aid. Coursera says it counts towards the project management education hours required for PMI's CAPM (Certified Associate in Project Management) exam. Check the price shown to you from Nigeria before you subscribe. Put a certificate on your CV next to real results, never instead of them.
Two routes up: grow with a client or apply out
Route 1: grow inside your current client
This is the most common and the fastest route, because trust is the hardest thing to prove from Nigeria. A client who has watched you deliver for a year doesn't care where you live.
- Pick one area the founder hates handling (often hiring admin, customer emails or supplier follow-up).
- Ask to own it fully, not just do tasks within it.
- Document it, measure it and improve it over 60 to 90 days.
- Present the result in a short written summary with the numbers.
- Propose the next area, plus a new title and rate that match the bigger scope.
When you raise the title and the rate, tie both to outcomes, not to time served. Our guide on asking for a raise in a remote job covers how to frame that conversation.
Route 2: apply externally
If your client is too small to need an operations manager, you'll eventually have to apply out. Here, your CV and portfolio do the trusting for you. Apply first for operations coordinator, operations associate, operations specialist and OBM roles, not straight for "operations manager", unless you already manage people and processes.
Build proof: an operations portfolio
Hiring managers can't see what you did for a private client unless you show them. Build a small portfolio, in a Notion page or a Google Drive folder, with permission from your client or with confidential details removed.
Include:
- Two or three SOPs you wrote, with client names removed
- A before-and-after process map for one improvement
- A sample weekly KPI report (real structure, made-up or anonymised numbers, clearly labelled)
- A short write-up of one automation you built, with the hours it saved
- A one-paragraph note on any team you onboarded or supervised
Example (hypothetical) CV line: "Built 14 SOPs and a Zapier workflow for a US e-commerce store's order inbox; cut average response time from 20 hours to 5 and onboarded two part-time VAs to cover weekends."
That one line beats "detail-oriented VA with strong organisational skills" every time. Our guide to building a virtual assistant portfolio covers the earlier portfolio stage.
What remote operations managers earn, and what applies from Nigeria
Pay jumps noticeably at each rung, but published US figures don't describe what a Nigeria-based worker will be offered. The figures below come from different sources and measure different things. Read the notes column before comparing them.
| Role and source | Figure (USD) | What it is |
|---|---|---|
| Operations-type VA ad, OnlineJobs.ph, Oct 2026 | $8 to $10 an hour | Range in one ad for Philippines-based workers |
| Remote operations specialist, Nigeria, Plane | $34,074 a year | Median base salary estimate, method not stated |
| Remote operations manager, Nigeria, Plane | $40,963 a year | Median base salary estimate, method not stated |
| General and operations managers, US, BLS, May 2025 | $105,770 a year | US median wage, on-site and remote |
Sources: OnlineJobs.ph listing, Plane, remote operations specialist salaries in Nigeria, Plane, remote operations manager salaries in Nigeria, US Bureau of Labor Statistics, Top Executives.
Here is what those numbers mean in naira, at ₦1,362 to $1 (CBN NFEM weighted average, 23 October 2026):
- $8 to $10 an hour for a 160-hour month is $1,280 to $1,600 a month, roughly ₦1.74 million to ₦2.18 million.
- Plane's operations specialist median works out to about $2,840 a month, roughly ₦3.87 million.
- Plane's operations manager median works out to about $3,414 a month, roughly ₦4.65 million. Plane's range runs from $15,310 at the 10th percentile to $75,753 at the 90th, so the spread is wide.
Treat the Plane figures with care. The pages don't show how the data was collected or when it was last updated, and they report base salary only. The BLS figure is a US benchmark for a broad management group. A Nigeria-based operations manager working remotely for a foreign company will usually be paid well below US local pay. Many small businesses hiring OBMs pay hourly or a monthly retainer rather than a salary. For role-level detail, see our operations manager salary guide, and compare it with what virtual assistants earn remotely.
How to read operations manager job ads from Nigeria
Operations roles are often tied to a region, because the person may have to cover local business hours, manage local suppliers or handle employment paperwork. Before you apply, check the location line and the full description, not just the word "remote".
On the Jobgether Africa page we opened, a few operations roles were labelled "Remote from Africa". Most were labelled "Remote from Anywhere", and at least one listed under the Africa filter was actually limited to South America (Jobgether, remote operations manager jobs, Africa). Aggregator labels are a starting point. Always open the employer's original ad and check eligibility there.
Watch for these patterns:
- "Remote, South Africa" or "Remote, UK": you must live in that country, usually because of payroll or employment law. Skip these.
- "EMEA": Europe, the Middle East and Africa, but many EMEA ads quietly list only a few European countries. See our explainer on what EMEA means in a job description.
- "Remote from anywhere" or "worldwide": often open to Nigeria, but check for hours requirements and payment method. Our guide on verifying whether a remote job accepts Nigerian residents walks through the checks.
- Hours stated in a time zone: "must work 9am to 5pm EST" means 3pm to 11pm in Lagos from 1 November 2026, when US Eastern moves to standard time and sits six hours behind Lagos.
On WorkRemote's job listings, each role shows the company, its website and where applicants may live. Filter by the admin and HR category or search "operations". We review listings and aim to publish genuine remote roles open to applicants from Nigeria, but we can't check every detail, and employers decide who they hire.
Nigeria-specific realities that shape the move
Time zones are part of the job
An operations manager is the person others go to when something breaks, so overlap with the team matters more than it does for a task-based VA. Lagos is on WAT (UTC+1) all year. As of late October 2026, London is on GMT and Lagos is one hour ahead. UK clients are an easy fit: 9am to 5pm in London is 10am to 6pm in Lagos. US clients are harder: US Eastern is six hours behind from 1 November, and US Pacific nine hours behind. If your client is in the US, agree on a fixed overlap window (for example 2pm to 7pm Lagos time) and handle the rest asynchronously with good documentation.
Your setup has to survive a bad day
A VA who drops off during a power cut inconveniences one person. An operations manager who drops off can stall a team. Before you take on the title, have an inverter or solar backup for your laptop and router. Keep two internet options, such as a home ISP plus a MiFi or phone hotspot on a different network. Write your own backup plan into your SOPs: who covers urgent tasks if you're offline for two hours.
Contractor or employee
Most Nigerians who move up this ladder with small foreign businesses stay independent contractors, invoicing monthly. Larger companies sometimes hire through an employer of record, which can add paid leave and other benefits. The difference affects your tax, your leave and your notice period, so read our guide on contractor versus EOR employee status in Nigeria before you accept an operations role. For getting paid, see how to receive dollar payments in Nigeria. A higher income also changes your tax position, which our tax guide for remote workers in Nigeria explains.
Common mistakes VAs make when aiming for operations
- Adding tasks instead of ownership. Taking on more errands makes you a busier VA, not an operations manager. Ask for an area to run, not more jobs to do.
- Keeping processes in your head. If only you know how it works, you've made yourself a bottleneck. Hirers see that as a risk, not a strength.
- No numbers on the CV. "Managed the inbox" says nothing. "Cut response time from 20 hours to 5" says everything.
- Applying for manager titles too early. Coordinator and OBM roles are the realistic next step for most VAs. Skipping them usually means more rejections.
- Ignoring the location line. Many operations ads are limited to one country, and applying anyway wastes your time.
- Undercharging after the scope grows. If you now run hiring, reporting and other VAs, your old hourly VA rate no longer fits. Our guide on pricing VA services explains how to restructure rates.
- Paying for "operations manager placement". No legitimate employer charges you to be hired. See our guide to spotting remote job scams in Nigeria.
A 12-month plan from VA to operations coordinator and beyond
This plan assumes you already have at least one steady client. Adjust it to your situation.
- Months 1 to 2: Write SOPs for your five most frequent tasks. Pick one project tool (ClickUp, Asana or Notion) and learn it properly.
- Months 3 to 4: Choose one process to own end to end. Map it, measure it for two weeks, then fix the slowest step.
- Months 5 to 6: Start a weekly KPI report for your client. Build one automation with Zapier or Make and record the hours it saves.
- Months 7 to 8: Offer to onboard or supervise another freelancer. Start the Google Project Management Certificate if you want structured learning.
- Months 9 to 10: Assemble your portfolio, rewrite your CV around outcomes and update your LinkedIn headline to "Operations Coordinator" or "Online Business Manager" only if your current work honestly matches the title.
- Months 11 to 12: Propose a formal title and rate change with your client, and apply for operations coordinator, specialist and OBM roles that are open to Nigeria.

Frequently asked questions
Can a virtual assistant become an operations manager without a degree?
Yes. Operations roles are judged mainly on experience and results, and ads more often ask for years of operations or coordination work than for a specific degree. Some larger companies do list a bachelor's degree, so a strong portfolio of SOPs, reports and process improvements matters most when you don't have one.
How many years of experience do remote operations manager jobs ask for?
Usually two to five years or more. On Jobgether's page of remote operations manager roles filtered for Africa (October 2026), most roles were labelled mid-level (2 to 5 years) or senior (5 to 10 years). Coordinator and specialist roles are the usual entry point before that.
What is the difference between an operations assistant and an operations manager?
An operations assistant supports processes that someone else designed and owns. An operations manager designs those processes, sets the KPIs, chooses the tools and manages the people. The assistant role is a common middle step; our guide to becoming a remote operations assistant covers it.
How much does a remote operations manager earn in Nigeria?
Estimates vary widely, and there's no reliable official figure for Nigeria-based remote workers. Plane estimates a median base salary of $40,963 a year for remote operations managers in Nigeria, about ₦4.65 million a month at ₦1,362 to $1 (23 October 2026), but it doesn't publish its method. Small businesses often pay much less, hourly or on a retainer.
Should I call myself an online business manager or an operations manager?
Use the title that matches your actual work and your target employers. "Online business manager" fits coaching, course and small-agency clients, often on contract. "Operations manager" fits startups and companies with a team to run. Never claim a title on your CV or LinkedIn that your current duties don't support.
Do I need a project management certificate to move into operations?
No, but it can help if you're self-taught. The Google Project Management Professional Certificate on Coursera takes about six months part-time, cost $49 a month in the US and Canada as of October 2026 (possibly less elsewhere), and counts towards the education hours needed for PMI's CAPM exam. Results from real work still matter more.
Can I manage a team in another country from Nigeria?
Yes, if you have enough working-hours overlap and reliable power and internet. Many remote operations roles involve coordinating freelancers across several countries through written SOPs, project tools and short scheduled calls. Agree overlap hours clearly, especially with US teams, which sit five to nine hours behind Lagos.
Key takeaways
- Moving from VA to operations manager means shifting from finishing tasks to owning processes, numbers and people.
- Most people pass through a senior VA, operations coordinator or online business manager stage, and ads for manager roles usually ask for two to five years or more of experience.
- SOPs, process improvement, weekly KPI reports, automation and light team leadership are the skills that move you up.
- Growing inside a client who already trusts you is usually the fastest route from Nigeria.
- Published pay figures differ widely; US benchmarks such as BLS's $105,770 median are not what Nigeria-based workers are usually offered.
- Many operations ads are limited to one country, so check the employer's original ad for where applicants may live before you apply.
Next steps
Start this week by writing SOPs for the three tasks you repeat most, then send your client a first weekly report. When you're ready to apply, search "operations" or "coordinator" on remote jobs open to Nigerians and use "Get email updates" to receive a free daily digest of new matching roles. Applying is always free. If you want help presenting your VA experience as operations experience, WorkRemote Premium (₦29,999 a month) includes a team member rewriting your CV and LinkedIn profile; see what the CV review covers.
