How to Use Google Workspace for Remote Work From Nigeria
Set up Gmail, Calendar, Meet and Docs for remote work from Nigeria: time zones, low-data Meet settings, offline access for power cuts, and security.

To use Google Workspace well for remote work, set it up around three facts of working from Nigeria: your team is probably in another time zone, your power and internet will drop at some point, and the account belongs to your employer, not you. Get Calendar, Meet and offline access right in your first week and most of the daily friction goes away.
Lots of remote companies run on Google Workspace: Gmail for email, Calendar for meetings, Meet for calls, and Drive, Docs and Sheets for shared work. Nobody trains you on it. You're expected to know how to share a file properly, leave a useful comment, and turn up to a 3pm New York meeting at the right Lagos time.
This guide covers the setup, the settings that matter on Nigerian internet, the habits remote teams notice, and how to show these skills when you apply.
Quick answer
Sign in to the account your employer gives you and turn on 2-Step Verification. In Google Calendar, add your team's time zone and set your working hours. In Google Meet, lower the video quality or switch to audio only when your connection is weak. Turn on offline access for Docs and Gmail in Chrome so you can keep working through power cuts and outages. Keep personal and work accounts in separate browser profiles.
What Google Workspace is, and which account you are actually using
Google Workspace is Google's paid suite for organisations. It includes Gmail on the company's own domain, Calendar, Meet, Chat, Drive, Docs, Sheets, Slides and Forms. A free Google account (an @gmail.com address) has most of the same apps with fewer features and lower limits.
You're likely to use one of three setups, and they behave differently:
| Setup | Who controls it | What to expect |
|---|---|---|
| Employer's Workspace (you@company.com) | The company's admin | Settings can be locked; access ends when you leave |
| Client adds you to shared files | The client | You use your own account; they control the files |
| Your own free Gmail or paid Workspace | You | You choose the settings and pay any fees |
The first row matters most. Your company's IT admin can switch features on or off. Google's own help pages say, for example, that an administrator can disable offline access and can turn off working hours for the whole organisation. If a setting in this guide is missing from your account, it's probably not your mistake. Ask your manager or IT contact.
If you were hired as a contractor, find out whether you'll get a company account or be expected to use your own. This is one of several differences covered in our guide to contractor versus employee arrangements with foreign companies.
Your first-day setup checklist
On the day you get your login, do these in order. Most take a few minutes each.
- Sign in on a separate Chrome profile. Create a new Chrome profile just for work. It keeps work bookmarks, passwords and Google sign-in apart from your personal Gmail. Google's offline help also says only one account per browser profile can have Docs offline turned on, so a separate profile isn't optional if you want offline access for both accounts.
- Turn on 2-Step Verification if your company hasn't already enforced it (details in the security section below).
- Set your Calendar time zone to Lagos and add your team's time zone as a second one.
- Set your working hours in Calendar so colleagues see when you're available.
- Add a profile photo and your full name as it appears on your contract. Remote colleagues will see your face in Chat, Docs comments and Meet before they ever meet you.
- Turn on offline access for Docs, Sheets and Slides, and for Gmail.
- Install the Gmail, Google Calendar, Google Meet and Google Chat apps on your phone and sign in with the work account, so you have a backup when your laptop or power is down.
- Run a test Meet call with a friend or a colleague, on your main internet and then on your backup (MiFi or phone hotspot).
Google Calendar across time zones
Calendar is where most time-zone mistakes happen, and a missed meeting on day three is a bad first impression. Nigeria is on West Africa Time (WAT, UTC+1) all year with no daylight saving. Most of your colleagues' clocks change twice a year and yours don't, so the gap between you moves.
Show your team's time zone next to yours
Google Calendar can show more than one time zone on the side of your calendar grid. According to Google Calendar Help on time zones, go to Settings, then General, then Time zone. Set your primary time zone to Lagos, tick "Show additional time zones", and choose a secondary one (and a third if you need it). The same settings page has a world clock you can turn on with several cities.
If your manager is in New York and your client is in London, set the primary zone to Lagos, the secondary to New York and the tertiary to London. Once you see the columns side by side, you stop doing the arithmetic in your head.
Set your working hours
Working hours tell anyone booking a meeting when you're available. Google's help page on working hours says the feature is for work and school accounts, must be set from Calendar on a computer, and repeats weekly. If you don't see it, your admin may have switched it off. The same page says that if your account is eligible, you can also set a working location, which shows collaborators your local time zone.
Set your hours in Lagos time, matching what you agreed with your employer. If you've agreed to overlap with US Eastern from 2pm to 10pm Lagos time, set exactly that. Then people stop booking you at 7am.
How far apart you are this season
The time differences below were correct as of late October 2026. UK clocks went back on 25 October 2026, and US clocks go back on 1 November 2026.
| Team location | Difference from Lagos (winter) | Difference from Lagos (summer) |
|---|---|---|
| London (GMT/BST) | Lagos is 1 hour ahead | Same time |
| Berlin, Paris, Amsterdam (CET) | Same time | 1 hour ahead of Lagos |
| New York (EST/EDT) | 6 hours behind Lagos | 5 hours behind Lagos |
| San Francisco (PST/PDT) | 9 hours behind Lagos | 8 hours behind Lagos |
| Dubai (UTC+4) | 3 hours ahead | 3 hours ahead |
Example (hypothetical): Your US manager books a weekly 10am Eastern meeting. Until 1 November that's 3pm in Lagos. From 1 November it's 4pm in Lagos. If you'd set the event from memory, you'd now be an hour early. If you let Calendar handle it, it moves by itself.
For planning a whole working week across zones, see our planned guide on managing tasks across multiple time zones.
Gmail habits remote teams notice
A distributed team mostly works in writing, so how you handle Gmail is part of how colleagues judge your work. A few habits help:
- Reply to all only when everyone needs to see it. Use Chat for quick yes/no questions, and save email for decisions, clients and anything that needs a record.
- Write subject lines someone can search for later. "Invoice for October 2026: Acme onboarding project" beats "Hello".
- Schedule emails you write at night. If you finish a message at 11pm Lagos time, schedule it for your recipient's morning. It lands at the top of their inbox, and they don't learn your sleeping hours.
- Use labels and filters so client emails, tool notifications and internal threads don't pile up in one inbox.
- Turn on the out-of-office reply for public holidays. Your colleagues may not know when Nigerian public holidays fall. The Calendar help page above also says Gmail can show your out-of-office status to people who email you, if your calendar is shared with them.
Gmail offline for when the network drops
Gmail can keep recent messages on your laptop and queue the replies you write offline. Gmail Help on offline use says it works only in Chrome, not in Incognito mode. You turn it on in Gmail's offline settings and choose how many days of messages to sync. Emails you send while offline wait in an Outbox and go out automatically when you reconnect. Messages sync only while Chrome is open. If storage runs low, sync fewer days or untick "Download attachments".
Google Meet on Nigerian internet
Meet adjusts quality by itself, but you'll get better calls and spend less data if you choose the settings yourself.
How much data a Meet call can use
Google publishes bandwidth figures for Meet in its admin guidance on preparing a network for Meet. For small organisations and individuals, it lists up to 1.7 Mbps each way for 720p video, up to 3.6 Mbps for 1080p, up to 4.0 Mbps inbound for group meetings, and 100 Kbps each way for audio only.
Converting those maximums to data per hour gives a rough planning figure. This is our arithmetic from Google's numbers, and these are upper limits. Real calls often use less.
| Call type | Google's figure (each way) | Rough maximum per hour, both ways |
|---|---|---|
| Audio only | 100 Kbps | About 90 MB |
| 720p video | Up to 1.7 Mbps | About 1.5 GB |
| 1080p video | Up to 3.6 Mbps | About 3.2 GB |
The gap is large. A daily one-hour stand-up on 720p video could take up to about 30 GB over a month of working days, while the same call on audio only would take about 2 GB. If you work on a capped data plan, that difference decides which plan you buy.
Settings to change
Google Meet Help on video and audio quality says that on a computer you open Settings, then Video, and change two things:
- Send resolution: what others see from your camera. The options are 1080p, 720p and 360p. Google says 360p uses less data.
- Receive resolution: what you see from others. The options include 1080p, 720p, 360p and Audio Only. Google says Audio Only uses the least data.
Google suggests lowering quality if you get delays, a poor connection, low battery or limited data. In practice: keep your camera on at 360p for the first few minutes of a team call so people see you, then set receive resolution to Audio Only when someone shares a screen. The Meet admin page above also notes that a still screen share stops using extra bandwidth once it has loaded.
Free Meet limits, if you use your own account
If you host calls from a personal Gmail account, for client calls as a freelancer for example, the Google Meet product page said as of October 2026 that free accounts can host up to 100 participants for up to 60 minutes per meeting, with no time limit on one-to-one calls and mobile calls. Paid plans raise group calls to up to 24 hours. A three-person client call on a free account will cut off at the hour, so plan around that or ask the client to send the invite from their paid account.
Before an important call, have a backup plan: the Meet app on your phone with the call link ready, a MiFi or phone hotspot charged, and your inverter or solar charged. If your laptop dies mid-call, rejoin from your phone on audio and send a one-line message in the chat. Our planned guides on the best internet options for remote work in Nigeria and staying productive when your connection is unreliable go into the hardware side.
Drive, Docs and Sheets: working on shared files
Most of your output will live in Google Drive. These are the habits that mark someone as easy to work with.
Share files at the right level
Every Drive file has three main access levels: viewer, commenter and editor. Give each person the lowest level they need. Before sharing outside the company, check whether "Anyone with the link" is switched on. A pricing sheet left open to anyone with the link is the kind of mistake that ends contracts. Put work in the team's Shared drive (if your company uses them) rather than "My Drive", so files stay with the team when people leave.
Use suggesting mode, comments and assignments
When you edit someone else's document, switch Docs from "Editing" to "Suggesting" (top right of the toolbar). Your changes then show as tracked suggestions the owner can accept or reject. To ask a question or hand over a task, highlight the text, add a comment and type @ followed by a colleague's name. They get notified, and you can assign the comment to them as an action item. That beats sending a separate email saying "see the doc".
Use version history before you panic
If a Doc or Sheet looks wrong, open File, then Version history, before you message anyone. You can see who changed what and restore an earlier version. You can also name a version ("Sent to client, 27 Oct") so it's easy to find later.
Sheets habits that save your manager time
- Freeze the header row and keep one table per tab.
- Use data validation (drop-down lists) for status columns, so people choose "Done" and don't type it five different ways.
- Leave a short "Notes" or "Read me" tab explaining what each tab does.
Working through power cuts and outages: offline access
Offline access means a power cut that takes down your router doesn't stop your work. You keep writing on battery, and changes sync when you reconnect.
According to Google Docs Editors Help on offline use, to turn it on:
- While you're connected, open Google Drive, go to Settings and turn on the Offline setting.
- Use Chrome or Microsoft Edge, not a private window.
- Install and turn on the Google Docs Offline extension.
- Make sure your laptop has enough free storage.
Google's page lists limits that matter in a Nigerian setup:
- Only your most recently opened files are saved offline automatically. Mark important files "Available offline" from Drive before you need them.
- Only one account per browser profile can use offline access, which is another reason to keep work in its own Chrome profile.
- Your administrator can disable offline access on a Workspace account.
- Very large files may fail to sync.
Example (hypothetical): Your area's power supply usually goes off in the evening. At 5pm, while the internet is still up, you open the three Docs and the Sheet you need for tonight's work and mark them available offline. When the router goes off, you keep writing on your laptop battery. When the inverter or the hotspot comes back, the changes sync.
Google Chat and Spaces
Google Chat is Workspace's messaging tool. Direct messages are for one-to-one questions. Spaces are group rooms, usually one per project or team. If your company uses Chat instead of Slack, a few habits help:
- Reply in a thread so a conversation doesn't scatter across a busy space.
- Set your status ("Away until 2pm WAT", "On a call") so colleagues know when to expect a reply.
- Turn off notifications outside your working hours on your phone, or you'll be answering 2am messages from San Francisco.
If you're weighing up messaging tools more broadly, see our planned comparison of Slack and Microsoft Teams for remote communication.
Security and keeping work separate from personal
A Workspace account usually gives access to client data, contracts and sometimes payroll. Losing it to a phishing email is a serious problem for you and your employer.
Turn on 2-Step Verification
Google Account Help on 2-Step Verification describes several second steps. Google prompts on your phone are the recommended one. Passkeys and hardware security keys give the strongest protection against phishing. Authenticator apps generate codes without a network connection. Text-message codes are the least secure because attacks on phone numbers can target them. Save the backup codes somewhere safe. On a managed work account the steps may differ, so follow your admin's instructions. The authenticator-app option is useful in Nigeria: it works when your SIM has no signal. Our planned guide on setting up two-factor authentication for work accounts covers the details.
Keep your records, not the company's data
When a contract ends, the company will close your Workspace account, often the same day. Keep your own copies of the things that are yours, such as your contract, payslips or invoices and payment confirmations, in your personal storage as you receive them. Don't copy client files, customer lists or internal documents to your personal Drive. That's usually a breach of your contract and confidentiality terms. Those personal records also matter for tax: see our guide to tax for remote workers in Nigeria.
Freelancers: do you need to pay for Google Workspace?
You don't need a paid Workspace plan to work remotely. Employers who use Workspace give you an account. Clients can share files with any Google account. A free Gmail account covers Docs, Sheets, Drive and one-to-one Meet calls.
Paying starts to make sense once you run a client-facing business, for example as a virtual assistant or agency. Then you want an email address on your own domain, more storage, and group calls longer than 60 minutes. When we checked Google Workspace pricing in October 2026 with Nigeria selected, the page showed prices in pounds, excluding tax:
| Plan | List price per user a month | Storage | Meet participants |
|---|---|---|---|
| Business Starter | £5.90 | 30 GB per person | 100 |
| Business Standard | £11.80 | 2 TB pooled | 150 |
| Business Plus | £18.40 | 5 TB pooled | 500 |
The same page showed a promotional half price running from 10 November 2026 to 10 February 2027. It also said meeting recording is not included in Starter. Prices and currencies change, so confirm on Google's page before you pay. You'll need a card that works for international payments. Our guide on receiving and managing dollar payments in Nigeria covers the apps Nigerian freelancers commonly use.
How to show Google Workspace skills when you apply
"Proficient in Google Workspace" on a CV tells a recruiter nothing, because nearly everyone writes it. Describe what you did with the tools:
- "Managed a shared calendar for three executives across London and New York time zones in Google Calendar."
- "Built a Google Sheets tracker with drop-down statuses and conditional formatting, used by a five-person support team."
- "Ran weekly client calls on Google Meet and kept shared notes and action items in Google Docs."
Only write lines you can back up in an interview. Assistant and admin roles in particular tend to ask about calendar management and document handling in interviews. Our executive assistant career guide and virtual assistant career guide cover the wider skill set for those roles. If your company uses Microsoft instead, our planned guide on using Microsoft 365 in a remote job covers the same ground for Outlook, Teams and OneDrive.
Common mistakes to avoid
- Creating events by typing times from memory. Let Calendar convert time zones. Check your settings after every clock change abroad.
- Joining every call at 1080p on a capped plan. Drop to 360p or audio only unless your camera really needs to be on.
- Sharing with "Anyone with the link" by default. Share with named people instead.
- Editing a colleague's Doc directly. Use suggesting mode unless they asked you to edit.
- Logging in to your work account on a shared or café computer. If you have to, sign out fully and never tick "Don't ask again" for 2-Step Verification on that device.
- Trusting a "Google Workspace" login page from an email link. Type the address yourself. Fake login pages are a standard phishing trick, and fake recruiters sometimes send "onboarding documents" that ask you to sign in. Our guide to spotting remote job scams in Nigeria covers the warning signs.
Frequently asked questions
Is Google Workspace free?
No. Google Workspace is a paid business subscription, but a free Google account includes Gmail, Drive, Docs, Sheets, Slides and Meet with lower limits. Most remote workers don't pay anything, because their employer provides the Workspace account.
Do I need Google Workspace to work remotely for a foreign company?
No. If the company uses Google Workspace, it will create an account for you. If it uses Microsoft 365 or other tools, you'll use those. As a freelancer you can work with clients from a free Gmail account and upgrade later if you want your own domain email.
How much data does Google Meet use in an hour?
Based on Google's published bandwidth figures, an audio-only call uses up to about 90 MB an hour, and a 720p video call up to about 1.5 GB an hour, counting both directions. These are upper limits, and real calls often use less. Lowering your send and receive resolution in Meet's video settings cuts usage a lot.
Can I use Google Docs without internet?
Yes, if you set up offline access while you're still connected. You need Chrome or Microsoft Edge, the Google Docs Offline extension, and enough free storage. Your recently opened files are saved automatically, and you can mark others as available offline. On a work account, your administrator can switch offline access off.
How do I see my colleague's time zone in Google Calendar?
Go to Settings, then General, then Time zone, tick "Show additional time zones" and choose their zone. It appears as a second column beside yours. You can also turn on a world clock with several cities in the same settings.
Why is the working hours option missing from my Google Calendar?
Working hours are only available on work and school accounts, so a personal Gmail account won't show the option. On a work account, your administrator may have turned it off for the organisation. You also have to set it from Calendar on a computer, not the phone app.
Should I put Google Workspace on my CV?
Yes, but describe what you did with it rather than listing "Google Workspace" as a skill. Specific lines about managing calendars across time zones, building trackers in Sheets or running client calls on Meet are more convincing, and they give interviewers something to ask you about.
Key takeaways
- Most remote workers use an account the employer controls, so some settings may be locked and access ends when the job does.
- Set Calendar to Lagos time, add your team's time zone and set your working hours, so clock changes abroad don't make you miss meetings.
- On Meet, 360p video or audio only can cut data use from gigabytes to well under 100 MB an hour, based on Google's own bandwidth figures.
- Turn on offline access for Docs and Gmail in Chrome before you need it, so power cuts and outages don't stop your work.
- Keep work in its own Chrome profile, use 2-Step Verification, and keep your own contract and payment records outside the company account.
