Best Customer Service Tools for Remote Support Agents (2026)
Which help desks remote support agents should learn (Zendesk, Intercom, Freshdesk, Help Scout), how to practise free, and the setup you need in Nigeria.

The customer service tools that matter most for a remote support agent are help desks, and four names come up again and again: Zendesk, Freshdesk, Intercom and Help Scout. Around them sit a team chat app (Slack or Microsoft Teams), a screen recorder, a writing checker and, just as important in Nigeria, a working headset, backup power and two internet connections.
You won't buy most of this software. The employer picks it and pays for your seat. Your job is to be useful in it from day one, and that's what hiring managers test for when they write "Zendesk experience preferred".
This guide covers which tools to learn first for the kind of company you want to work for, how to practise each one free or cheaply (as of October 2026), which skills carry over from one help desk to another, what you need to pay for yourself, and how to show tool skills on a CV without overstating them.
Quick answer
Learn one major help desk well. Zendesk is the safest first choice, then Intercom for software companies or Gorgias for online shops. Most help desks offer a free trial of 7 to 15 days, and Help Scout has a free plan, so you can practise without paying (as of October 2026). Add Slack, a screen recorder and a grammar checker. Then make sure your own headset, backup power and internet won't let you down during a shift.
What "customer service tools" means for a remote agent
When a job ad lists tools, it usually means software in five groups. Knowing the groups helps you read an ad quickly and see what's missing from your own skills.
| Tool group | What it does | Common names |
|---|---|---|
| Help desk or ticketing | Collects emails, chats and forms into tickets | Zendesk, Freshdesk, Help Scout |
| Live chat and messaging | Real-time chat on websites and apps | Intercom, Zendesk Messaging, Gorgias |
| Knowledge base | Help articles customers read themselves | Zendesk Guide, Help Scout Docs, Intercom Articles |
| Team communication | Talking to colleagues and escalating issues | Slack, Microsoft Teams, Google Meet |
| Personal productivity | Writing, screenshots, recordings, notes | Grammarly, Loom, ShareX, Google Docs |
A help desk ticket is a single customer conversation tracked from first message to resolution. It has a status (new, open, pending, solved), an owner and a history. Nearly every remote support job runs on tickets, so this is the group to master first.
Remote desktop tools such as TeamViewer or AnyDesk appear in many "remote support software" roundups. Those are mainly for IT support, where the agent takes control of a customer's computer. If you're aiming at that work, see our IT support specialist career guide. Customer service agents rarely need them.
The help desks employers ask for most
The prices below are what each company charges a business. They're here so you know what the trial unlocks and, if you freelance as a virtual assistant, what a small client would pay. All figures were checked on the vendors' own pricing pages in October 2026 and change often.
| Help desk | Typical employer | Free way to practise (Oct 2026) |
|---|---|---|
| Zendesk | Software, fintech, outsourcing firms | 14-day trial |
| Freshdesk | Small and mid-sized firms, outsourcers | 14-day trial, no free plan |
| Intercom | Software (SaaS) and app companies | 14-day trial, no card |
| Help Scout | Small software firms, agencies | Free plan, up to 5 users |
| Gorgias | Shopify and online shops | 7-day trial, no payment details |
| HubSpot Service Hub | Firms already using HubSpot CRM | Free Academy lessons |
Zendesk
Zendesk is the name you'll see most often in support job ads, which is why it's the default first tool to learn. On Zendesk's UK pricing page, the entry-level Support Team plan costs £15 per agent a month billed yearly (£20 monthly), and the Suite plans run from £45 to £89 or more (Zendesk pricing, as of October 2026). The free trial lasts 14 days and opens the Suite Professional features, so you can try views, macros, triggers and the agent workspace.
For a closer look at the jobs that run on it, read our guide to remote customer support jobs using Zendesk.
Freshdesk
Freshdesk, from Freshworks, does the same job as Zendesk and has a similar layout, so learning one makes the other easy. As of October 2026 its pricing page lists Growth at $19, Pro at $55 and Enterprise at $89 per agent a month billed yearly. There's no free plan. The 14-day trial gives you the Enterprise plan, after which the account is suspended unless you pay (Freshdesk pricing). Plan to use the trial in one focused fortnight.
Intercom
Intercom is built around chat inside websites and apps, so software companies love it. If you want SaaS support (help with software products sold on subscription), learn it. As of October 2026 Intercom lists seats at $19 (Essential, a new-customer discounted price), $85 (Advanced) and $132 (Expert) a month. Its AI agent, Fin, is charged at $0.99 per outcome. The trial is 14 days with no card needed (Intercom pricing).
Fin matters to you as an agent. On Intercom-powered teams, the AI often answers the simple questions first and hands harder ones to people. That means the tickets you get are trickier, and you may be asked to review and improve the AI's answers. Our guide to using AI tools in remote customer support covers that side of the work.
Help Scout
Help Scout is the most beginner-friendly option to practise on, because it has a genuinely free plan. As of October 2026 the free plan covers up to 5 users, one shared inbox and one help centre, with no payment method needed. Paid plans start at $25 per user a month (Help Scout pricing). For a freelance virtual assistant setting up support for a small client, $25 is about ₦34,000 a month at ₦1,362 to $1 (CBN rate, 23 October 2026).
Gorgias
Gorgias is built for online shops, especially Shopify stores. It ties tickets to orders, so an agent can see what a customer bought, refund it or change the delivery address without leaving the ticket. Unlike most help desks, it charges by ticket rather than per agent: as of October 2026 the Starter plan is $10 a month for 50 tickets. The trial lasts 7 days and needs no payment details (Gorgias pricing). If you want e-commerce support work for US or UK brands, learn Gorgias after your first help desk.
HubSpot Service Hub
Some companies run sales, marketing and support all inside HubSpot. HubSpot Academy's Service Hub Software course is free: 2 hours 24 minutes across 9 lessons covering the help desk, knowledge base, customer portal, feedback surveys and reports (HubSpot Academy course page, as of October 2026). There's a catch. The certificate requires practical exercises that need a paid Pro or Enterprise HubSpot subscription, plus a 60-question exam. So take the lessons for the knowledge, and don't count on the certificate unless an employer gives you access.
Skills that carry over to any help desk
Hiring managers know you can't have used every platform. What they want is proof you understand how ticketing works. If you know these ideas in one tool, you can pick up another in a week.
- Views and queues: filtered lists of tickets, such as "unassigned, urgent, US customers".
- Macros (canned responses): saved replies that also apply tags or change status. Good agents edit them so they don't sound robotic.
- Tags and fields: labels such as "refund" or "login-issue" that feed reports.
- Internal notes: comments only colleagues can see, used for handovers between shifts.
- SLAs: service-level agreements, meaning targets such as "first reply within 4 hours". Many help desks show a countdown.
- Triggers and automations: rules that route or update tickets automatically.
- Escalation: passing a ticket to tier 2, engineering or billing with a clear summary.
- CSAT: customer satisfaction score, the survey sent after a ticket is solved.
The daily workflow of sorting, prioritising and closing tickets has its own guide: how to manage customer support tickets remotely.
Team communication and screen tools
Remote support teams spend as much time talking to each other as to customers. Expect these.
Slack and Microsoft Teams
Startups and software companies mostly use Slack. Larger and more traditional firms often use Microsoft Teams. Learn threads, channel etiquette, status settings ("on break", "in a call") and how to mention someone for an urgent escalation. Both have free versions you can install today and use with a study group.
Screen recording and screenshots
A short screen recording often settles a ticket faster than four paragraphs. Loom is common on remote teams. ShareX (Windows) and the built-in screenshot tools on macOS and Windows handle annotated screenshots. When you report a bug to engineers, a screenshot with the error circled, plus the customer's browser and steps to reproduce it, earns respect quickly.
Video calls
You'll use Zoom, Google Meet or Teams for team stand-ups and interviews, and sometimes for customer calls. Test your camera and microphone before every shift that includes calls.
Writing and typing tools
Most remote support from Nigeria is written: email and chat rather than phone. Your writing is the product.
- A grammar checker such as Grammarly or LanguageTool catches typos when you're tired. Set it to US English for US clients and UK English for British ones, and don't let it rewrite your tone.
- A text expander, or your help desk's macros, saves time on greetings and sign-offs.
- Typing speed and accuracy are often tested in live-chat assessments. Free typing sites help you practise, and our guide to improving your typing speed for support jobs suggests realistic targets.
Keep a personal "snippets" document of good explanations you've written, such as how to reset a password or how a refund timeline works. Over time this becomes your own knowledge base.
The tools you pay for yourself in Nigeria
Software is the employer's cost. Your setup is usually yours, and it's where many Nigerian agents lose shifts. Employers rarely accept "NEPA took light" twice.
| Item | Why it matters | Practical choice |
|---|---|---|
| Laptop | Help desk, chat and Slack open at once | 8GB RAM minimum, 16GB is better |
| Headset with noise-cancelling mic | Generators and street noise | USB or wired, tested on a call |
| Backup power | Grid supply is unreliable | Inverter and batteries, or solar |
| Two internet connections | One provider will fail | Fibre or Starlink plus MiFi or hotspot |
| Quiet corner | Calls and video interviews | Soft furnishings cut echo |
Check prices for each item locally before you budget, because they change quickly. For more detail, see what equipment you need for a remote job and the best internet options for working remotely in Nigeria.
Time zones also affect your setup. A US Eastern team working 9am to 5pm means 3pm to 11pm in Lagos from 1 November 2026 (when the US moves to EST), and 2pm to 10pm in summer. Your backup power has to last through evening shifts, when outages are common in many areas. UK teams are easier: 9am to 5pm London time is 10am to 6pm in Lagos in winter.
How to practise these tools for free before you apply
Free trials are short. Plan your practice before you sign up so you don't waste the days. Some vendors ask for a company email address or a website when you sign up. If a trial won't accept your details, start with Help Scout's free plan.
- Choose your target employer type first (see the table in the next section). That decides which tool to learn.
- Open the free option: Help Scout's free plan, or a 14-day trial of Zendesk, Freshdesk or Intercom.
- Invite a friend as a second agent, or create a second email address, so you can send yourself realistic "customer" tickets.
- Write 20 fake tickets covering refunds, login problems, angry customers, bug reports and feature requests.
- Build three views, five macros, a few tags and one automation rule.
- Write two short help-centre articles, such as "How to reset your password".
- Screenshot what you built and record a 3-minute Loom walkthrough. That becomes portfolio evidence.
Example (hypothetical): Amaka in Ibadan wants SaaS support roles. In week one she uses Help Scout's free plan to learn ticketing basics with a friend as her "customer". In week two she starts Intercom's 14-day trial, builds a chat workflow and records a walkthrough. She then lists "Help Scout (hands-on practice), Intercom (trial project, link in portfolio)" on her CV. That's honest, and specific enough to discuss in an interview.
Which tool to learn first
Match the tool to the jobs you're applying for. Look at 10 recent ads in your target area and count which help desk names appear. Your own count beats any general ranking, ours included.
| If you're targeting | Learn first | Then add |
|---|---|---|
| SaaS and app companies | Intercom or Zendesk | Slack, Loom, Jira basics |
| Shopify and online shops | Gorgias | Shopify admin, Zendesk |
| Outsourcing and BPO firms | Zendesk or Freshdesk | Salesforce basics |
| Small businesses and agencies | Help Scout or Freshdesk | Google Workspace |
| Firms using HubSpot CRM | HubSpot Service Hub | HubSpot CRM basics |

How to show tool skills on your CV and in assessments
Be precise about how you've used each tool. "Zendesk: 18 months, 60+ tickets a day, built macros for refund queries" is strong. "Familiar with Zendesk" from a trial is fine if you say it was a practice project. Recruiters check in interviews, and claiming a year's experience you don't have can end the process.
- Group tools by type in a skills section (help desks, communication, productivity) rather than listing 20 logos.
- Put tool use inside your achievements: "cut first-reply time by using macros and views in Freshdesk".
- Expect a practical test. Many assessments simulate a ticket queue or a live chat, so practise writing replies under time pressure.

Common mistakes with support tools
- Learning five tools shallowly. One help desk known well, plus the shared skills, beats a list of names.
- Sending macros unedited. Customers can tell. Personalise the first line and check that the macro fits the question.
- Skipping internal notes. On remote teams spread across time zones, the next agent depends on your notes.
- Mixing personal and work accounts. Use separate browser profiles, and turn on two-factor authentication on work tools.
- Paying for "Zendesk certification" from unknown sellers. Use vendor trials and vendor academies. Anyone who asks for money before giving you a job, or sells a "tool licence" as a condition of hiring, is a red flag. Our guide to spotting remote job scams in Nigeria explains the patterns.
- Ignoring your backup setup. The best help desk skills don't matter if your power goes off halfway through a shift.
Frequently asked questions
Which customer service software should I learn first?
Zendesk, for most people. It appears in support job ads more than any other help desk, and its ticketing ideas carry over to Freshdesk, Help Scout and others. Learn Intercom first if you're targeting software companies, or Gorgias if you want e-commerce support.
Can I practise Zendesk for free?
Yes, for a limited time. As of October 2026, Zendesk offers a 14-day free trial that opens its Suite Professional features. Plan your practice before you sign up so you use all 14 days.
Is there a free help desk I can use to learn?
Yes. As of October 2026, Help Scout's free plan allows up to 5 users, one shared inbox and one help centre, with no payment method. Freshdesk has no free plan, only a 14-day trial.
Do remote employers pay for the tools, or do I?
The employer pays for help desk and communication software and gives you a login. You normally pay for your own laptop, headset, internet and backup power. If you work as a freelancer or contractor, check the contract, because some clients expect you to bring your own setup.
Is a HubSpot customer service certificate worth getting?
The lessons are worth taking, and they're free. As of October 2026, the Service Hub course runs about 2 hours 24 minutes, but the certificate requires practical exercises that need a paid HubSpot Pro or Enterprise subscription. Few beginners can complete it without an employer's account.
What headset do I need for remote customer service?
You need one with a noise-cancelling microphone that sounds clear on a test call with a friend. A wired or USB headset is usually more reliable than Bluetooth for long shifts. Chat-only and email-only roles still often use calls for training and meetings.
Do I need customer service tool experience to get a remote support job?
Not always, but it helps a lot. Many ads list Zendesk, Intercom or Freshdesk as "preferred" rather than required. A practice project you can show, such as a recorded walkthrough of a help desk you set up, can make up for a lack of paid experience.
Key takeaways
- Help desks are the most important tools for a remote support agent. Zendesk is the safest first choice, with Intercom for SaaS and Gorgias for e-commerce.
- Most help desks offer free trials of 7 to 15 days, and Help Scout has a free plan, so you can practise without paying (as of October 2026).
- Shared skills (views, macros, tags, internal notes, SLAs, escalations) matter more than knowing many brand names.
- Employers pay for the software. You pay for the laptop, headset, power backup and two internet connections that keep you online.
- Describe tool experience on your CV exactly as it happened, and back up practice projects with screenshots or a short recording.
