Best Calendar Apps for Managing International Meetings
Compare Google Calendar, Outlook, Calendly and Cal.com for meetings across time zones, with setup steps and the daylight saving trap for Nigerians.

For most Nigerian remote workers, the best calendar app for international meetings is the one their employer or client already uses. Usually that's Google Calendar or Microsoft Outlook, set up to show West Africa Time next to the other side's time zone. If people book time with you, add a booking tool like Calendly or Cal.com, which shows each guest your free slots in their own local time.
The app matters less than the setup. Nigeria stays on UTC+1 all year, while London, Europe and the US move their clocks twice a year, and not on the same dates. A meeting that was 3pm in Lagos last week can be 2pm this week, and nobody tells you. This guide compares the main tools by how they handle time zones, gives prices as of October 2026, explains what to set up on the first day, and covers the mistakes that make people miss interviews and client calls.
Quick answer
Use Google Calendar if your client works in Google Workspace and Outlook if they use Microsoft 365. Both are free and both can show extra time zones beside your own. Set your main zone to West Africa Time (Lagos) and add the zones of the people you meet. For booking links, Calendly's free plan covers one meeting type and Cal.com's free plan allows unlimited types. World Time Buddy helps you compare zones before you suggest a time.
How we chose these calendar apps
We judged each tool on what goes wrong most for someone in Nigeria working with people abroad:
- Time-zone handling: can it show more than one zone, set a zone for a single event, and show guests your times in their local time?
- Cost: is there a usable free plan, and what does the paid plan cost in dollars?
- Fit with employers: do international companies actually use it?
- Low data and phone use: does it work on the phone you already have?
We read each tool's own help pages and pricing pages in October 2026. We didn't run a hands-on test, so treat this as a comparison of documented features. Prices and plan limits change, so check the vendor's page before you pay.
The best calendar apps for international meetings at a glance
| App | Best for | Cost (as of October 2026) |
|---|---|---|
| Google Calendar | Gmail and Google Workspace users | Free with a Google account |
| Microsoft Outlook | Employers on Microsoft 365 | Free with Outlook.com; included in company plans |
| Apple Calendar | iPhone and Mac users | Free on Apple devices |
| Calendly | Booking links for clients and recruiters | Free plan; Standard from $10 a seat a month, billed yearly |
| Cal.com | Free booking links with many meeting types | Free plan; Teams from $12 a user a month, billed yearly |
| World Time Buddy | Comparing zones before proposing a time | Free to use; sign-in to save settings is free |
The first three are calendars, where your meetings live. Calendly and Cal.com are scheduling tools that sit on top of your calendar and let other people book time with you. World Time Buddy is a time-zone converter. Most remote workers end up using one calendar plus one of the other two.
Google Calendar: the default for most remote workers
Google Calendar is free with any Google account, and many startups and small companies abroad run on Google Workspace. If a client sends you a Google Meet link, they're almost certainly on it.
Google Calendar time zone features
According to Google's Calendar help page on time zones, you can:
- Set a primary time zone. Go to Settings, then General, then Time zone. Choose "(GMT+01:00) West Africa Time, Lagos".
- Show a secondary and a tertiary time zone. Tick "Show additional time zones" and up to two extra zones appear down the left side of your day and week view. Someone working with London and New York can see all three times on one screen.
- Turn on a world clock. Under "World clock", add cities and their current times show in the side panel.
- Give a single event its own time zone. When you create an event, open "More options" and click "Time zone" next to the time. This helps when a client says "Thursday at 10am my time" and you'd rather enter it exactly as they said it.
Google also notes that only the calendar's owner can change that calendar's time zone, and that events created before a region changes its time-zone rules may show the wrong time.
Appointment schedules in Google Calendar
Google Calendar has a built-in booking page called appointment schedules. You choose a duration and the hours you're free, and others book through a link. Google's appointment schedules help page says some features need an eligible Google Workspace or Google One subscription. If your employer already pays for Workspace, you may not need Calendly at all. Check which features your own account has before relying on it.
Who it suits: freelancers, virtual assistants and anyone whose clients use Gmail. It's also the easiest place to start if you've never used a digital calendar properly.
Microsoft Outlook: the one large employers use
Banks, consultancies, big corporations and many UK firms run on Microsoft 365, which means Outlook and Teams. If your interview invite arrives as a Teams link, expect to live in Outlook once you're hired.
Outlook time zone features
Microsoft's support page on managing time zones in Outlook covers all three versions:
- New Outlook and Outlook on the web: go to Settings, then Calendar, then View. Pick your main zone under "Display my calendar in time zone", then choose "Add time zone", search for a city, tick "Show in calendar" and save. You can give each zone a label, such as "Client" or "HQ".
- Classic Outlook: go to File, then Options, then Calendar. Under Time zones, tick "Show a second time zone" and, where your version allows it, "Show a third time zone".
- How many zones: Microsoft says the latest versions of Outlook for Microsoft 365 can display up to three time zones in the calendar. Older versions such as Outlook 2016 and Outlook 2019 show two.
Microsoft also explains how Outlook stores meetings: in UTC (Coordinated Universal Time, the world's reference clock), shown to each attendee in their own local time. A meeting sent for 2pm in London in winter therefore shows up as 3pm on your calendar in Lagos, as long as your own time zone setting is correct. That last condition is the one that catches people out. If your laptop or Outlook is set to the wrong zone, every invite will be off.
Who it suits: employees of larger organisations, anyone in finance, consulting or corporate roles, and executive assistants who manage a boss's diary. Our executive assistant career guide covers the diary-management side of that job.
Apple Calendar: fine for iPhone users, with two traps
Apple Calendar comes free on iPhones and Macs and can sync your Google or Outlook accounts, so you see everything in one place. It handles time zones differently from Google and Outlook, though.
A TidBITS explainer on Apple Calendar time zone support sets out how it works:
- Every event has a time zone, and events display in your device's current time zone.
- On a Mac, Calendar, then Settings, then Advanced, then "Turn on time zone support" lets you choose which zone the calendar displays.
- On iPhone and iPad there's a setting called Time Zone Override (Settings, then Apps, then Calendar). The author advises against it because it's easy to forget it's on, and then all your times are shifted.
- "Floating" events have no time zone and show the same clock time wherever you are. They suit personal reminders, not calls where everyone must join at the same moment. Floating events can only be created on a Mac.
Who it suits: iPhone users who want one app that shows their Google and Outlook calendars together. Keep Time Zone Override switched off unless you have a specific reason.
Calendly: the booking link most recruiters and clients recognise
Calendly isn't a calendar. It connects to your Google or Outlook calendar and gives you a link, so other people can pick a slot when you're free. That ends the back-and-forth emails about "does 4pm your time work?"
How Calendly handles time zones
Calendly's time zones help article explains that:
- Calendly detects the invitee's time zone automatically and shows your availability in their local time. They can also pick a different zone from a dropdown on the booking page.
- Your own time zone is detected when you sign up and applies to all your event types unless you change it in your profile.
- For in-person events, Calendly recommends locking the time zone to the event location. Don't lock it for video calls.
- Calendar invitations are sent by the guest's own calendar app, so they may show UTC if that app can't detect the guest's zone. Calendly's own confirmation and reminder emails show the correct zone.
That last point explains many "the invite says 13:00 UTC, what time is that?" panics. In winter, UTC is one hour behind Lagos, so 13:00 UTC is 2pm WAT. Since Nigeria never changes its clocks, it's always one hour behind Lagos.
Calendly pricing
According to Calendly's pricing page, as of October 2026:
| Plan | Price | Notes |
|---|---|---|
| Free | $0 | One event type, one connected calendar |
| Standard | $10 a seat a month, billed yearly | About ₦13,620 a month at ₦1,362 to $1 |
| Teams | $16 a seat a month, billed yearly | About ₦21,792 a month |
Naira figures use WorkRemote's house rate of ₦1,362 to $1 (CBN NFEM weighted average, 23 October 2026). Monthly-billing prices weren't shown on the page we read.
The free plan is enough for most individuals: one "30-minute call" link you can send to clients. You'd only pay once you need several meeting types or more than one connected calendar.
Cal.com: the free alternative with more room
Cal.com does the same job as Calendly: a booking link that respects each guest's time zone. The main reason to choose it is a more generous free plan.
Cal.com's pricing page lists, as of October 2026:
- Free: $0 for one user, with unlimited event types and calendars, email and SMS notifications, a mobile app and browser extension, and one-click import from Calendly.
- Teams: $12 a user a month, billed yearly (about ₦16,344 at the house rate above).
- Organizations: $28 a user a month, billed yearly.
The page also links to a self-hosted option and a GitHub repository, which matters to developers who'd rather run it on their own server.
Calendly or Cal.com? If a client or agency already uses Calendly, use what they use. If you're a freelancer or virtual assistant setting this up yourself and you want separate links for "discovery call", "weekly check-in" and "strategy session", Cal.com's free plan covers that without a subscription.
World Time Buddy: for working out a time before you suggest it
World Time Buddy is a world clock, time-zone converter and meeting planner. You add cities (Lagos, London, New York, say) and it lines up their hours side by side, so you can spot the hours when everyone is awake and working. Signing in to save your cities is free, and the site lists options for adding a chosen time to Google Calendar or Outlook.
Use it before you reply to "when are you free?". Suggesting times in the other person's zone, worked out correctly, looks professional and saves a round of emails.
Setting up your calendar for international meetings from Nigeria
Whatever app you pick, these steps prevent most mistakes.
- Set your primary time zone to West Africa Time (Lagos). Check the zone on your phone and laptop as well as in the app. A laptop bought abroad, or a fresh Windows install, sometimes defaults to another zone.
- Add the other side's zones. In Google Calendar, add a secondary and tertiary zone. In Outlook, use "Add time zone". Label them by person or team ("Client: London", "Manager: New York") so you don't have to remember which city is which.
- Block your real working hours. If your contract says UK hours, block 9am to 5pm London time. That's 10am to 6pm in Lagos in winter and 9am to 5pm in summer, when the UK is on BST.
- Turn on two reminders. Something like 30 minutes and 10 minutes before. When the grid goes off and your laptop is charging from the inverter, your phone notification is the backup.
- Connect your booking tool to the right calendar. Calendly and Cal.com check the connected calendar for clashes. If your personal and work calendars are separate, connect both, or people will book over your other meetings.
- Send one test booking to yourself. Open your booking link in a private browser window, change the dropdown to London or New York, and check the slots match what you expect.

Time-zone maths for Nigerians: the daylight saving trap
This is the section most international guides skip, because their readers live in countries that change their clocks along with everyone else.
Nigeria uses West Africa Time (WAT), which is UTC+1 all year with no daylight saving. The places you meet do change their clocks:
| Location | Winter (from late Oct/early Nov) | Summer |
|---|---|---|
| London | 1 hour behind Lagos (GMT) | Same time as Lagos (BST) |
| Central Europe | Same time as Lagos (CET) | 1 hour ahead |
| US Eastern (New York) | 6 hours behind (EST) | 5 hours behind (EDT) |
| US Pacific (San Francisco) | 9 hours behind | 8 hours behind |
| Dubai | 3 hours ahead | 3 hours ahead |
The UK and US don't switch on the same day. In 2026 the UK moved to GMT on 25 October, while the US stays on EDT until 1 November. For that week, New York is still 5 hours behind Lagos while London is already 1 hour behind, so the London to New York gap is 4 hours instead of the usual 5. Something similar happens in spring, when the US moves its clocks forward a couple of weeks before the UK.
Your calendar app handles these changes for you, as long as the event was created with a proper time zone. Trouble comes from times typed by hand into chat or email: "same time as usual, 4pm" means 4pm London, and that's now 5pm in Lagos. When someone gives a time in words, put it in your calendar using their zone (Google's per-event time zone, or Outlook's) and let the app do the conversion.
Example (hypothetical): finding a window for London and New York
Adaeze is a virtual assistant in Enugu. She supports a founder in London and a sales lead in New York, and needs a weekly three-way call.
- In winter: New York's 9am (EST) is 3pm in Lagos and 2pm in London. A call between 3pm and 6pm Lagos time fits everyone's working day.
- In summer: New York's 9am (EDT) is 2pm in Lagos, and London is on the same time as Lagos. The window moves to 2pm to 5pm Lagos time.
If Adaeze books the call as "9:30am New York time" in her calendar, the app moves it in Lagos terms each spring and autumn. If she writes "3:30pm" in a WhatsApp message, she'll be an hour early or late twice a year. A San Francisco client is harder: 9am there in winter is 6pm in Lagos, so evening calls come with that client. Our guide on managing different time zones without burning out covers protecting your evenings when that's the deal.
Calendar tips for remote job interviews
Many international employers schedule interviews through booking links: Calendly, Cal.com, or the scheduling built into applicant tracking systems such as Greenhouse or Lever. A few habits help:
- Check the time-zone dropdown before you pick a slot. It should say West Africa Time or Lagos. If you're on a VPN, the booking page may guess the wrong zone. Calendly says its detection relies on your browser and device settings.
- Accept the invite into your calendar, so the conversion is done for you rather than relying on the email text.
- Reply confirming the time in both zones: "Confirmed for Tuesday at 2pm London time (2pm in Lagos)." It shows you understand time zones, which interviewers for remote roles care about. For how to answer that question directly, see answering interview questions about working across time zones.
- Be suspicious of unexpected invites. A calendar invite you didn't request, for an "interview" with a company you never applied to, with a link to a chat app, is a common scam pattern. Our guide to spotting remote job scams in Nigeria lists the warning signs.
If the interview is on Zoom, Google Meet or Teams, the calendar invite carries the link. For choosing and testing the call software itself, read video conferencing tools for remote interviews.
Paying for calendar tools from Nigeria
Most people never need to. Google Calendar, Outlook.com, Apple Calendar, World Time Buddy and the free plans of Calendly and Cal.com cover individual use.
If you do upgrade, the bill is in dollars. Some naira cards have limits on foreign subscription payments, so check before you subscribe yearly. Many freelancers pay with a dollar virtual card from the same app they use to get paid. Our guide to receiving and holding dollars in Nigeria compares those apps. If you're an employee, ask whether the company already provides a paid scheduling tool before buying one yourself.
Common mistakes with international meeting calendars
- Relying on the laptop's automatic time zone. Automatic settings can pick the wrong zone, especially on a VPN. Set Lagos manually and check it after updates.
- Writing times without a zone. "Meeting at 10" means nothing across three countries. Always write the zone: "10am GMT / 11am WAT".
- Turning on Apple's Time Zone Override and forgetting it. Every time on your iPhone will be shifted.
- Connecting only one calendar to your booking link. People will book over meetings in the calendar you didn't connect.
- Ignoring UTC in invites. If an invite shows UTC, add one hour for Lagos time, all year.
- Leaving no buffer. Back-to-back calls across zones leave no room for a power cut or a dropped connection. Add 10 minutes between meetings, and keep a MiFi or phone hotspot ready as a second connection.
Frequently asked questions
What is the best free calendar app for remote workers in Nigeria?
Google Calendar is the best free starting point for most people. It shows up to three time zones in your week view, adds a world clock and lets you set a time zone on individual events. If your employer uses Microsoft 365, use Outlook instead, since your meeting invites will come through it anyway.
How do I show two time zones in Google Calendar?
Go to Settings, then General, then Time zone, and tick "Show additional time zones". Pick a secondary zone (and a tertiary one if you need it), and both appear beside your Lagos times in day and week view. You can also turn on the world clock in the same settings for a quick look at other cities.
What time zone should I choose in my calendar if I live in Nigeria?
Choose West Africa Time, often listed as "(GMT+01:00) West Africa Time, Lagos" or "Africa/Lagos". It's UTC+1 all year, so you never need to change it. The other countries change, and the app adjusts for them.
Why does my meeting invite show the wrong time?
Usually your device or calendar is set to the wrong time zone, or the invite is shown in UTC. Check that your laptop, phone and calendar app are all on West Africa Time. If the invite says UTC, add one hour to get Lagos time.
Should I pay for Calendly?
Most individuals don't need to. As of October 2026, Calendly's free plan includes one event type and one connected calendar, which covers a single "book a call with me" link. If you need several meeting types without paying, Cal.com's free plan allows unlimited event types.
Is Cal.com as good as Calendly for international clients?
For time zones, both show guests your free slots in their own local time. Calendly is more widely recognised, so stick with it if your client or agency already uses it. Cal.com's free plan is more generous, which suits freelancers paying their own way.
Does Nigeria change its clocks for daylight saving?
No. Nigeria stays on WAT (UTC+1) all year. The UK, Europe and the US change their clocks twice a year on different dates, so your meeting times with them shift even though your clock doesn't.
Key takeaways
- Use the calendar your employer or client uses: Google Calendar for Google Workspace teams, Outlook for Microsoft 365.
- Set your main zone to West Africa Time (Lagos) and add the zones of the people you meet, labelled by person or team.
- Calendly (free: one event type) and Cal.com (free: unlimited event types) show guests your availability in their local time.
- Nigeria never changes its clocks, but London and New York do, on different dates. Put meetings in your calendar with the right time zone instead of typing times into chat.
- An invite shown in UTC is always one hour behind Lagos.
- Phone reminders and a backup internet connection matter as much as the app when the power goes.
Next steps
Pick one calendar tonight, set it to West Africa Time and add the zones of your clients or target employers. If you're still job hunting, browse remote jobs open to applicants in Nigeria. Each listing shows where applicants may live, so you can see which time zones you'd be working with. After a search, use "Get email updates" to get a free daily email of new matching jobs. If assistant work suits you, our virtual assistant career guide explains how calendar and diary management fits into paid remote work.
