Notion vs ClickUp for Managing Remote Projects
Notion vs ClickUp for remote teams in Nigeria: free plan limits, prices, offline use, time tracking and which tool to learn for remote jobs, as of October 2026.

For most remote project work, ClickUp is the better choice when the job is tracking tasks, deadlines, time and workload across a team. Notion is better when the work depends on documents, wikis, client portals and flexible notes, with lighter task tracking on top. Many remote teams run both, so the choice is less about which tool is "best" and more about what your project needs most.
This guide compares the two for people working remotely from Nigeria. It covers what each free plan actually allows, what the paid plans cost as of October 2026, how each behaves when NEPA takes light or your MiFi drops, and which one to learn if you're applying for remote jobs. You'll also find a decision table by role, a hypothetical setup for a small remote team, and the mistakes that make either tool painful to use.
Quick answer
Pick ClickUp if you manage several people, clients or deadlines and need native time tracking, Gantt charts, workload views and automations. Pick Notion if your project is mostly documentation, such as SOPs, briefs, content calendars or a client wiki, and your task needs are simple. For a solo freelancer, either free plan is enough to start. Before paying, check current prices on each official pricing page, because both companies changed their plans in 2025 and 2026.
How Notion and ClickUp differ at the core
The two tools come at the same problem from opposite ends.
Notion is a document tool that can manage projects. Everything is a page, and a database is a collection of pages you can view as a table, board, timeline, calendar, list or gallery. Notion's own projects and tasks guide shows a Projects database linked to a Tasks database, with board views for active projects and a timeline view for workload. You build the system yourself, or start from a template.
ClickUp is a task tool that can hold documents. Its structure is a fixed hierarchy (Workspace, Spaces, Folders, Lists, Tasks), and project features come ready-made: statuses, assignees, time tracking, Gantt charts, dashboards and automations. You configure it rather than build it.
This difference shows up in daily remote work:
- In Notion, a project page can hold the brief, the meeting notes, the client's brand guide and the task board together. That's useful when a client in London wants one link that explains everything.
- In ClickUp, you see straight away who is overloaded, which tasks are late and how many hours went into a client this month. That's useful when you bill by the hour or manage three VAs across time zones.
Notion vs ClickUp feature comparison for remote projects
The table compares the features remote teams ask about most. The plan details come from each company's pricing and help pages, checked in October 2026.
| Feature | Notion | ClickUp |
|---|---|---|
| Docs and wikis | Core strength | Included, less flexible |
| Task boards and lists | Yes (database views) | Yes, built in |
| Sub-tasks | Yes (turn on sub-items) | Yes, built in |
| Dependencies | Yes, set in database settings | Yes |
| Gantt or timeline | Timeline view | Gantt: trial on Free, unlimited on paid |
| Native time tracking | Not in Notion's project guides | Unlimited plan and above |
| Dashboards | Charts (1 on Free) | Trial on Free, full on Business |
| Automations | Limited | 5 active rules on Free |
| Offline use | Pages you mark offline | Limited (view, create tasks) |
Tasks, sub-tasks and dependencies
Both tools handle the basics. In Notion you switch on sub-items and dependencies from a database's "More settings" menu, according to Notion's sub-items and dependencies help page. Dependencies come with three date-shifting options: shift only when dates overlap, shift and keep the gap between tasks, or never shift automatically. There's also a toggle that stops shifted tasks landing on weekends.
ClickUp has these features out of the box, with no setup. For a beginner project coordinator, that's a real advantage, because you won't break your own system by changing a property.
Time tracking
If you're paid hourly by a US or UK client, this section may decide things for you. ClickUp says its built-in time tracking is on the Unlimited plan and above, and works from desktop, mobile or the browser extension. The Free Forever plan only gets a trial. Notion's project guides don't describe a built-in timer, so Notion users usually pair it with a separate time-tracking app.
Docs, SOPs and client wikis
This is Notion's home ground. Writing standard operating procedures (SOPs), onboarding pages, content briefs or a client handbook feels like writing in a clean document editor, and you can drop a live task board into the same page. ClickUp Docs work, but most remote writers, VAs and community managers find Notion easier to keep tidy over months.
Reporting and workload
A remote manager has to answer "who is doing what, and is it late?" without walking round the office. ClickUp's dashboards, workload views and Gantt charts are built for that question. The ClickUp pricing page lists unlimited Gantt charts on paid plans and unlimited dashboards with advanced cards on Business. Notion's timeline view covers much of the same ground for smaller projects, and Notion's pricing page shows charts on paid plans, with one chart on Free.
Free plans compared: what you get without paying
Most Nigerians start on a free plan, and with naira card limits on foreign transactions, many stay there. Here's what each free plan allows as of October 2026.
| Free plan detail | Notion Free | ClickUp Free Forever |
|---|---|---|
| Members | Block limit for 2+ members | Unlimited members |
| Guests | 10 external guests | Unlimited guests |
| File uploads | 5 MB per file | 60 MB total storage |
| Page or version history | 7 days | Not compared here |
| AI | Trial | Trial |
| Time tracking | No native timer | Trial only |

What this means in practice:
- Solo freelancer: Notion Free is generous for one person. The block limit only applies once two or more members join a workspace.
- Small team on zero budget: ClickUp Free Forever lets you add unlimited members and guests, so it scales better for a three-person team. The catch is 60 MB of total storage, which a few design files or call recordings will use up quickly. Keep big files in Google Drive and link to them.
- Working with a client: Both tools let you invite the client as a guest. Notion caps external guests at 10 on Free, which is plenty for most freelancers.
Paid plans and what they cost from Nigeria
Both tools charge per seat (per person) per month, with a discount for paying yearly.
| Plan | Price per seat a month | Notes |
|---|---|---|
| Notion Plus | £8.50 | Shown in GBP when we checked |
| Notion Business | £16.50 | Includes Notion AI features |
| ClickUp Unlimited | $7 yearly, $10 monthly | Unlimited storage, time tracking |
| ClickUp Business | $12 yearly, $19 monthly | Dashboards, more automations |
Notion figures are from the Notion pricing page, which displayed pounds when we opened it in October 2026, along with a note that yearly billing saves "up to 20%". Use the currency selector on that page to see dollar prices. ClickUp figures are from the ClickUp FAQ and pricing page.
ClickUp's pricing is changing. When we opened the ClickUp pricing page in October 2026, it also showed a newer lineup (Core at $9, Business at $17 and a Max tier at $100 per user a month, billed yearly) with AI credits included. The older Unlimited and Business plans were listed alongside it, with AI sold as add-ons (Brain AI at $9 per user a month). Check which plans your account is offered before you budget.
As a rough naira guide at ₦1,362 to $1 (CBN NFEM weighted average, 23 October 2026), one ClickUp Unlimited seat billed yearly at $7 a month works out to about ₦9,500 a month, or about ₦114,400 for the year paid upfront. That's before your bank's or card provider's foreign transaction charges.
Paying for software from Nigeria
ClickUp says it accepts "all major credit cards". Naira debit cards often hit international spending limits on subscriptions, so many remote workers use a dollar virtual card from their receiving app or a domiciliary account card. Our guide on how to receive and spend dollars in Nigeria compares the apps people use for this. If a client asks you to work in their tool, ask them to add you as a member or guest on their paid workspace. You shouldn't pay for a client's project tool out of your own pocket.
Offline use when power or internet fails
For people working from Lagos, Port Harcourt or Jos, offline behaviour matters more than any feature list. Neither tool is fully offline, but they fail in different ways.
Notion offline: According to Notion's offline guide, all users can view, edit and create pages offline on desktop or mobile, as long as they've marked those pages "Available offline". Changes sync when you reconnect. The limits are important:
- Offline access is per device, so you mark pages on your laptop and phone separately.
- Downloading a database saves only its first 50 rows.
- Sub-pages must be marked one by one.
- Embeds, forms and buttons don't work offline.
The guide says Business and Enterprise plans download recent and favourite pages automatically, while Notion's pricing page lists that feature from Plus upwards. Either way, Free users have to choose pages manually.
ClickUp offline: The ClickUp FAQ describes offline use as viewing previously opened tasks and notes, and creating new tasks and reminders on the web and desktop apps, with everything syncing on reconnection. It's a capture tool for the outage, not a full workspace.
A practical routine for Nigerian conditions:
- Each morning, while you still have power and data, open the tasks and pages you'll need that day.
- In Notion, mark your current project page and key SOPs "Available offline" on both laptop and phone.
- When the network drops, note new tasks offline and keep writing in Notion pages you've already downloaded.
- When you're back on your second ISP or phone hotspot, check that everything synced before your next stand-up.

Which tool should you learn for remote jobs?
If you're job hunting, the useful question is which tool employers expect, not which one you prefer.
Look at the tools named in the job ads you actually want. In general, project coordinator, operations and agency roles mention ClickUp, Asana, Jira or Monday.com, while content, community and startup operations roles often mention Notion as the company's wiki. That's a pattern to check, not a statistic. Search the ads on WorkRemote's job listings for "ClickUp" or "Notion" and count what comes up in your target category.
| Your role or goal | Learn first | Why |
|---|---|---|
| Virtual assistant | Both, ClickUp first | Clients assign tasks there, SOPs often sit in Notion |
| Project coordinator | ClickUp | Gantt, workload and status reports |
| Content writer or editor | Notion | Content calendars and briefs |
| Community manager | Notion | Wikis, guidelines, moderation logs |
| Operations manager | ClickUp | Automations, dashboards, multi-team tracking |
| Software team member | Neither first | Teams usually use Jira or Linear |
| Solo freelancer | Notion | Client portal and notes on the free plan |
Being "familiar with Notion" on a CV means little. Build something you can show instead. One hypothetical example: a Notion client portal with a brief, a weekly report template and a linked task board. Another: a ClickUp workspace with statuses, a recurring weekly task, an automation and a time report. Share a read-only link in your application. Our virtual assistant career guide and project coordinator career guide explain what else those roles expect.
Example (hypothetical): setting up a remote team of four
Take a small Lagos-based agency handling social media for two UK clients. It has one lead, two content creators and a VA, and the clients' working day is London time.
Option A, ClickUp only: one Space per client, with Lists for "Content", "Ads" and "Reporting". Statuses run To do, In progress, Client review, Approved, Scheduled. One automation moves a task to the VA when it reaches "Approved". Time tracking (Unlimited plan) records hours per client for monthly invoices. The lead checks the workload view every Monday.
Option B, Notion only: one Projects database and one Tasks database, with a board view per client and a calendar view for the posting schedule. Each client page holds the brand guide, logins policy (never passwords in plain text), and the weekly report. Clients are guests on their own page. Hours are tracked in a separate app.
Option C, both: ClickUp for tasks and hours, and Notion for client-facing wikis and SOPs, with each ClickUp task linking to the relevant Notion SOP.
For this team, Option A or C makes sense once they bill by the hour. Option B is fine while they're on fixed monthly retainers and the clients mostly want one tidy page to look at.
On time zones: London is on GMT from 25 October 2026, so a 9am London check-in is 10am in Lagos until the clocks change in late March. Set due times in the tool to the client's time zone, or the overnight "late" alerts will confuse everyone. Our article on managing tasks across time zones goes further on this.
Common mistakes with Notion and ClickUp
- Overbuilding Notion. Spending a week on a beautiful dashboard with ten linked databases, then abandoning it. Start with one Projects and one Tasks database.
- Using every ClickUp feature at once. Ten custom statuses and fifteen custom fields slow a remote team down. Keep statuses to five or six.
- Assuming offline means offline. Neither tool lets you work fully offline. Download what you need before the outage, not during it.
- Ignoring the ClickUp storage cap. 60 MB on Free Forever goes quickly. Link files from Google Drive or OneDrive instead of uploading them.
- Paying on a naira card without checking limits. A declined renewal can lock your team out of paid features mid-project.
- Keeping client passwords in pages or tasks. Use a password manager and share access properly.
- Picking a tool your client doesn't use. If the client already runs their projects in ClickUp, work in their ClickUp, not your own Notion.
How this compares with other tools
Notion and ClickUp aren't the only options. Trello is simpler than both, Asana sits between them on structure, and engineering teams tend to standardise on Jira or Linear. If you're still choosing, our roundup of project management software for remote teams covers the wider field, and Trello vs Asana compares two lighter options. Frequently asked questions
Is Notion or ClickUp better for remote teams?
ClickUp is usually better for remote teams that need to track deadlines, workload and hours across several people. Notion is better when the team mainly needs shared documentation with simple task boards. Many teams use ClickUp for tasks and Notion for their wiki.
Which is cheaper, Notion or ClickUp?
On paper, ClickUp's Unlimited plan ($7 per user a month billed yearly, as of October 2026) costs less than Notion Plus (£8.50 per seat a month as shown on Notion's page). Both have free plans. ClickUp Free allows unlimited members, while Notion Free limits blocks once two or more members share a workspace. Check both official pricing pages before paying, because ClickUp was showing a newer plan lineup in October 2026.
Does Notion work offline?
Yes, partly. You can view, edit and create pages offline on desktop and mobile once you mark them "Available offline", and changes sync when you reconnect. Databases only download their first 50 rows, and embeds, forms and buttons don't work offline.
Does ClickUp work without internet?
Only in a limited way. ClickUp says you can view tasks and notes you've already opened and create new tasks and reminders on web and desktop while offline, then everything syncs when you reconnect. You can't run your whole workday in it without a connection.
Can I track time in ClickUp on the free plan?
Not fully. ClickUp's Free Forever plan includes a time-tracking trial, and native time tracking comes with the Unlimited plan and above, according to ClickUp's FAQ. Freelancers who bill hourly on the free plan usually add a separate time tracker.
Should a virtual assistant learn Notion or ClickUp?
Learn ClickUp first, then Notion. Clients often assign and track VA work in ClickUp, and many keep SOPs and client handbooks in Notion. A small sample workspace in each, shared as a read-only link, is better evidence than listing the tools on your CV.
Can I pay for Notion or ClickUp with a Nigerian card?
Sometimes, but naira cards often hit international spending limits on subscriptions. Many remote workers use a dollar virtual card or a domiciliary account card instead. If the workspace belongs to a client, the client should normally pay for your seat.
Do remote job ads ask for Notion or ClickUp experience?
Some do, depending on the role. Operations, project coordination and agency roles more often name ClickUp or similar task tools, while content and startup roles often use Notion as a wiki. Check the specific ads you're targeting rather than assuming.
Key takeaways
- ClickUp suits task-heavy remote projects: time tracking, Gantt charts, workload views and automations.
- Notion suits documentation-heavy projects: SOPs, briefs, wikis and client portals with light task tracking.
- ClickUp Free allows unlimited members but only 60 MB of storage. Notion Free is generous for one person but limits blocks for teams of two or more.
- Neither tool works fully offline. Download today's pages and tasks while you still have power and data.
- Prices and plans change. Check the official pricing pages, and remember card charges when paying from Nigeria.
- For job seekers, a small shareable sample workspace proves more than a line on your CV.
Next steps
Open the remote job ads you want and note which tool they mention, then build a small sample workspace in that tool this week. You can search for "ClickUp" or "Notion" on WorkRemote's remote job board and set up a free email alert for that search, so new matching jobs come to your inbox daily. If you're aiming for coordinator or VA roles, start with the project coordinator salary guide to see what the work pays, and read about the best productivity tools for remote workers to build out the rest of your toolkit.
