Virtual assistant interview questions for remote roles

VA interviews are short and practical. Expect a written test, a few scenario questions and a check that your internet, English and working hours hold up. Agencies often add a recorded video round before you meet a client.

The questions below are the ones that come up most, with what the interviewer is really checking and how a Nigerian applicant can answer with specifics.

About the role and your experience

Openers that check you understand the job and have done the work.

  1. Walk me through how you would clear an inbox with 400 unread emails on your first day.

    Why they ask

It's the most common VA task. They want a method, not reassurance.

    How to answer

Describe a sequence: sort by sender, archive newsletters and notifications, label by action needed, draft replies for routine ones, and send the client a short list of what only they can answer.

    Show a sample answer

I'd start by searching for newsletters and automated alerts and archiving them in bulk, which usually clears half. Then I'd label the rest as 'Reply', 'Waiting' or 'For you'. Routine replies I'd draft and leave in drafts for the first week so you can check my tone. By the end of day one you'd get a message from me with the ten emails that need your decision.

  2. What would you do in your first week with us?

    Why they ask

Shows whether you'll settle in quickly or wait for instructions.

    How to answer

Describe learning their tools and preferences, writing down how they like things done, and delivering a few quick wins.

    Show a sample answer

I'd spend the first two days learning your tools and noting your preferences, like how you sign emails and which meetings you never move. By Friday I'd want your inbox under control and a one-page guide to how you like things done, so nothing depends on my memory.

Technical questions

What you know and how you'd do the work, often with a live task or test.

  1. Your client is in New York and you're in Lagos. How do you schedule a call with someone in London?

    Why they ask

Time-zone mistakes are the classic VA error. They're checking you understand daylight saving, which moves the UK and US but not Nigeria.

    How to answer

Show you know the offsets and that they change. Mention using the calendar's time-zone feature or a world clock, and always stating the time in the other person's zone in the invite.

    Show a sample answer

In UK summer time London is on the same hour as Lagos, and New York is usually five hours behind both, so a 10am New York call is 3pm in London and 3pm for me. In winter London drops an hour behind us, so I always check. I'd check it in Google Calendar with both time zones showing, and I'd write '10am ET / 3pm UK' in the invite so nobody has to convert.

  2. Which tools have you used, and which one did you learn most recently?

    Why they ask

They want to know you can pick up their stack, not only list tools.

    How to answer

Name tools you've actually used and give one example of learning a new one quickly.

    Show a sample answer

I use Gmail, Google Calendar and Sheets every day, plus ClickUp and Canva. Last month a church I volunteer for moved to HubSpot, so I did the free HubSpot Academy course and set up their contact list over a weekend.

  3. How do you protect client passwords and data?

    Why they ask

You'll have access to accounts. Clients want to hear you take it seriously.

    How to answer

Mention password managers, two-factor authentication and not saving logins on shared devices.

    Show a sample answer

I only accept logins through a password manager like Bitwarden or 1Password, I keep two-factor on my own accounts and I don't use shared or public computers for client work.

Behavioural questions

Past situations. Answer with a real example: what happened, what you did, what changed.

  1. Tell me about a time you made a mistake with someone's schedule or email.

    Why they ask

Everyone makes mistakes. They're checking that you own them and fix them fast.

    How to answer

Pick a real, small mistake. Say what happened, how you fixed it within hours and what you changed so it didn't happen again.

    Show a sample answer

I once booked a supplier call for my boss during his son's school event because I hadn't checked his personal calendar. I apologised, moved the call the same morning and asked him to share his personal calendar as 'busy only'. Since then I check both calendars before I confirm anything.

  2. Why should we hire you over a VA in the Philippines?

    Why they ask

Agencies compare candidates across countries. They want your real advantage.

    How to answer

Don't knock anyone. Point to specifics: your hours overlap, your English, your niche experience, your proof.

    Show a sample answer

My working day overlaps fully with your mornings and early afternoons in New York, my written English is strong, and I already know the real estate CRM you use. I'm happy to do a paid trial week so you can judge my work rather than my location.

Situational questions

Hypotheticals about problems you'd meet in the job.

  1. How do you handle a task you've never done before?

    Why they ask

Clients ask for unexpected things. They want someone who finds out rather than freezes or guesses.

    How to answer

Explain that you'd research, attempt a draft, then check with them before anything goes live.

    Show a sample answer

I'd look for the tool's help pages or a short tutorial, do a test version in a sandbox or a copy, then send you a Loom showing what I plan to do before I touch the real thing.

  2. Your client hasn't replied to an urgent question and the deadline is in two hours. What do you do?

    Why they ask

Checks judgement under pressure when the client is unreachable.

    How to answer

Try their agreed urgent channel, prepare both options so either can go instantly, and make the safest reversible choice if they still don't reply.

    Show a sample answer

I'd send one short message on the urgent channel we agreed, probably WhatsApp or a Slack mention, with two options. Meanwhile I'd prepare both. If I heard nothing, I'd pick the reversible option, such as asking the supplier for a 24-hour extension, and tell my client exactly what I did.

  3. A customer emails your client angrily about a late order. How do you respond?

    Why they ask

VAs often handle customer messages. They're testing tone and whether you know your limits.

    How to answer

Acknowledge, apologise without blaming, give the next step, and escalate refunds or exceptions to the client.

    Show a sample answer

I'd reply within the hour, apologise for the delay, share the tracking link and say when they can expect it. If they ask for a refund, I'd tell them I'm checking with the owner and get back to them by a set time, then flag it to my client straight away.

Remote work questions

How you'll work from Nigeria with a team elsewhere: hours, power, internet, communication.

  1. What's your internet and power setup?

    Why they ask

Nigerian applicants are asked this every time. A vague answer loses the job.

    How to answer

Be specific: main connection, backup connection, power backup and how long it lasts. Say what you do if both fail.

    Show a sample answer

My main line is fibre and I have an Airtel MiFi as backup on a different network. I run on an inverter with solar panels, which covers my laptop and router through a normal evening. If everything failed I'd message you from my phone within five minutes and move to a co-working space in Yaba.

  2. Are you comfortable working US Eastern hours?

    Why they ask

Most VA roles need overlap with the US. They want to know you've thought about evenings in Lagos.

    How to answer

Say yes only if you mean it, and show you know what it means in your local time.

    Show a sample answer

Yes. 9am to 5pm Eastern is 2pm to 10pm for me most of the year, and 3pm to 11pm when the US is on standard time. I've worked that pattern for six months already, so my household knows my working hours.

  3. How would you keep me updated without me having to ask?

    Why they ask

Remote clients hate chasing. They want a routine.

    How to answer

Offer a fixed daily update with a simple format.

    Show a sample answer

Every day before I log off I'd post three lines in Slack: done, waiting on someone, and anything you need to decide. On Fridays I'd add a short list of next week's meetings and deadlines.

Remote interview tips

Treat the interview itself as a test of your setup. Join five minutes early from a quiet room, on a headset, with your camera at eye level and your inverter charged. Have a backup hotspot ready in case your main line drops.

Keep a few work samples open in browser tabs: an inbox screenshot with fake data, a schedule you built across time zones, a Canva post. Being able to share your screen and show your work is the fastest way to stand out.

After the call, send a short thank-you email the same day that repeats one specific thing you'd do for them. It shows the follow-through they're hiring for.

Questions people ask

Do VA interviews include a test?

Usually, yes. Expect a typing or writing test, a sample email to draft, or a scheduling exercise. Some agencies also ask you to record answers on video before a live interview.

What should I wear for a remote VA interview?

Dress as you would for an office interview from the waist up and keep your background plain. What matters more is a quiet room, a working headset and stable internet.

How long does a VA hiring process take?

Agency processes often run one to three weeks across several stages. Direct clients can decide after one call, especially if you offer a paid trial.
