Accounts payable interview questions for remote jobs

AP interviews for remote roles test two things: whether you know the payables process end to end, and whether you will protect the company's money when nobody is looking over your shoulder. Expect at least one fraud scenario. The questions below are the ones that come up, with answers a working AP specialist would give.

About the role and your experience

Openers that check you understand the job and have done the work.

  1. Walk me through what happens to an invoice from the moment it lands in the AP inbox.

    Why they ask

It is the quickest way to see if you have done the job or only read about it.

    How to answer

Go step by step: receive and log, check company details and PO, match, route for approval, post with correct coding and tax, schedule for payment, pay, file.

    Show a sample answer

I log it the same day, check it's addressed to the right entity and has a PO number, then match it to the PO and the goods received note in NetSuite. If it matches, it goes to the budget holder for approval, then into the next Thursday payment run. If it doesn't match, it goes back to the buyer with the difference noted, and it doesn't get paid until that's resolved.

  2. Which accounting systems have you used, and how quickly can you learn ours?

    Why they ask

Remote employers cannot sit next to you and train you.

    How to answer

Name systems and volumes honestly, and give an example of learning a new one fast.

    Show a sample answer

Sage 50 for three years and QuickBooks Online for the last year with a US client. I'm Xero certified as well. When we moved from Sage to QuickBooks I set up the vendor list and bank rules myself in the first two weeks.

Technical questions

What you know and how you'd do the work, often with a live task or test.

  1. What is three-way matching and what do you do when the three documents don't agree?

    Why they ask

It is the central AP control.

    How to answer

Define it, then give a concrete mismatch and how you resolve it without paying first and asking later.

    Show a sample answer

It's matching the purchase order, what was actually received, and the invoice. If the PO says 100 units at $4 but the invoice bills 120, I'd check the receiving record. If only 100 arrived, I'd short-pay or hold the invoice and ask the supplier for a credit note for the extra 20.

  2. How do you prevent duplicate payments?

    Why they ask

Duplicates are expensive and embarrassing, and remote managers want a process, not a promise.

    How to answer

Mention system checks on invoice number and amount, a pre-run review, and supplier statement reconciliations to catch what slips through.

    Show a sample answer

NetSuite flags the same invoice number for the same vendor, but suppliers sometimes add a letter or resend a scan, so before each payment run I export it and check same vendor, same amount within 60 days. Monthly statement reconciliations catch anything left.

  3. What is an accrual in AP, and give me an example.

    Why they ask

Month-end accruals separate AP specialists from invoice processors.

    How to answer

Explain recording a cost in the month it was incurred even if the invoice has not arrived, with a clear example.

    Show a sample answer

If a cleaning company did October's cleaning but won't invoice until mid-November, I'd accrue October's cost, say $1,200, so October's P&L is right. When the invoice arrives in November, it clears the accrual.

  4. How do you reconcile a supplier statement?

    Why they ask

It shows you can find missing invoices and misapplied payments.

    How to answer

Explain matching statement lines to the ledger, listing differences and resolving each with the supplier.

    Show a sample answer

I match every invoice and payment on their statement to our ledger. Differences go into three buckets: invoices they have that we don't, payments we made that they haven't applied, and disputed items. Then I email the supplier with the specific invoice numbers.

  5. Have you dealt with W-9s and 1099s, or with UK VAT on invoices?

    Why they ask

They want to know you understand the tax paperwork for their country.

    How to answer

Be honest about what you have done and show you know the basics of the other.

    Show a sample answer

I haven't filed 1099s myself, but I know US companies collect a W-9 from contractors before paying them so they can issue a 1099 at year-end, and I'd make the W-9 part of vendor onboarding. With UK suppliers I check the VAT number and rate are on the invoice before it's approved.

Behavioural questions

Past situations. Answer with a real example: what happened, what you did, what changed.

  1. A supplier calls every day about an invoice that is stuck waiting for approval. How do you handle it?

    Why they ask

AP sits between impatient suppliers and busy managers.

    How to answer

Show you chase internally with a deadline and keep the supplier informed honestly.

    Show a sample answer

I'd tell the supplier exactly where it is and when I'll update them, then message the approver with the invoice attached and the payment run cut-off: "Needs your approval by Wednesday noon to make Thursday's run." If it's still stuck, I escalate to their manager, politely.

  2. Describe a process you improved in AP.

    Why they ask

Good AP people make the process better, not just faster for themselves.

    How to answer

Give a before, what you changed and a measurable after.

    Show a sample answer

Approvals were done by forwarding emails and invoices got lost. I set up an approval flow in our system with a reminder after two days. Average time from receipt to approval went from about nine days to four.

  3. What would you do if you realised you had paid an invoice twice?

    Why they ask

Everyone makes mistakes; they want to see honesty and a fix.

    How to answer

Tell your manager straight away, contact the supplier for a refund or credit, record it, and fix the gap that allowed it.

    Show a sample answer

I'd tell my manager the same day, email the supplier asking for a refund or a credit against the next invoice, and post it so the ledger shows what they owe us. Then I'd work out why the duplicate check missed it and fix that.

Situational questions

Hypotheticals about problems you'd meet in the job.

  1. You receive an email from a regular supplier asking you to update their bank details before Friday's payment. What do you do?

    Why they ask

This is the most common way remote finance teams lose money.

    How to answer

Never act on the email. Call the supplier on a number already in your records, get a second approval for the change, and flag it if anything looks odd.

    Show a sample answer

I wouldn't touch the vendor record from that email. I'd call our contact on the number we already have on file, not the one in the email, and ask them to confirm. Even if they confirm, I'd need my manager's approval for the change and I'd keep the old payment on hold until it's done.

  2. The CEO messages you on Slack asking for an urgent $40,000 payment to a new supplier today. What do you do?

    Why they ask

Pressure from senior people is how controls get bypassed.

    How to answer

Stay polite, follow the process, verify on a separate channel and involve your manager.

    Show a sample answer

I'd reply that I'll get it moving, then call the CEO directly to confirm it's really them, because Slack accounts can be taken over. A new supplier still needs onboarding and bank detail verification, so I'd tell my finance manager and ask them to approve the exception if it's genuine.

  3. Cash is tight this week and the payment run is bigger than the money available. How do you decide what gets paid?

    Why they ask

It tests judgement and whether you escalate rather than decide alone.

    How to answer

Say you would prepare options, not choose on your own: critical suppliers, tax and payroll-related items, early-payment discounts, then the rest.

    Show a sample answer

That's the finance manager's call, but I'd make it easy: a list showing what's overdue, which suppliers could stop supplying us, anything tax-related, and what can wait a week without penalty. Then they choose and I run it.

Remote work questions

How you'll work from Nigeria with a team elsewhere: hours, power, internet, communication.

  1. How do you work when your manager is six hours behind you?

    Why they ask

US employers want to know you can work through the morning without them.

    How to answer

Explain how you queue questions, use async updates and keep working on what does not need sign-off.

    Show a sample answer

I start with what doesn't need anyone: logging, matching, reconciliations. Questions go into one message before your day starts, with everything you need to answer quickly. By the time you're online I'm usually waiting only on approvals.

  2. What is your power and internet situation for a full working day?

    Why they ask

Payment runs have cut-offs. Missing one because of an outage hurts suppliers.

    How to answer

Give specifics and a fall-back plan.

    Show a sample answer

I have solar with batteries that runs my laptop and router through a full day, a fibre line, and a 4G MiFi on another network. On payment-run days I finish the run before the afternoon so an outage wouldn't miss the bank cut-off.

Remote interview tips

Bring numbers to the interview: invoices a month, number of entities, payment run frequency, systems used. Remote interviewers cannot watch you work, so they rely on specifics.

Prepare one fraud story. If you have stopped a suspicious bank detail change or a fake invoice, tell it briefly. If not, say exactly what your call-back procedure is.

If the role is with a US company, confirm the hours before the final round and say clearly that you can do them. Saying yes to 9am-5pm Eastern and then struggling at 10pm Lagos time is how probation periods end early.

Questions people ask

Do remote AP interviews include tests?

Often. Common ones are an Excel exercise to find duplicates, a matching exercise with a PO, receipt and invoice, or a short written email to a supplier. Practise all three.

What should I ask the interviewer?

Ask which system they use, how many invoices a month the role handles, who approves payment runs, and how you will be paid. The answers tell you whether the role is clerk work or real AP ownership.

Is AP experience from a Nigerian company useful for foreign employers?

Yes. The process is the same. Translate it into their language: system, volume, controls and results, and drop local jargon they will not recognise.
